- Proven experience in contract management, purchase order administration, or a similar role within the pharmaceutical or healthcare industry.
- In-depth knowledge of contract terms, legal requirements, and procurement processes.
- Familiarity with pharmaceutical regulations, such as FDA guidelines, Good Manufacturing Practices (GMP), and Good Clinical Practices (GCP).
- Ability to access and work within a contract management system (CMS) that includes a strong command of uploading, downloading contracts and documents keep accurate control of contract redlines, and facilitate contracts to signatories for signature via electronic signature platform(s) (i.e. DocuSign, AdobeSign).
- Strong analytical skills and attention to detail.
- Excellent communication and negotiation skills.
- Proficient in using contract management software, ERP systems, and Microsoft Office Suite.
- Ability to work independently, handle multiple priorities, and meet deadlines.

Responsibilities:
YOUR ROLE
The Contracts Specialist plays a crucial role in ensuring the smooth and efficient management of contracts, purchase orders, and prompt payment for the U.S. Affiliate. This position requires excellent organizational skills, attention to detail, and the ability to work collaboratively with internal teams and external vendors.
- Coordinate and facilitate the end-to-end process of contract management, including drafting, reviewing, negotiating, and finalizing contracts with vendors, suppliers, and service providers.
- Collaborate with internal stakeholders, such as legal, finance, and procurement teams, to ensure compliance with company policies, regulatory requirements, and contract terms.
- Monitor contract expiration dates, renewal terms, and key milestones to proactively initiate contract renewals or amendments as necessary.
- Responsible for the accuracy of supporting documentation for contracts and completing documents accurately.
- Manage the purchase order process, including creating, reviewing, and approving purchase orders for goods and services, ensuring accuracy, completeness, and adherence to budgetary guidelines.
- Manages and tracks the Accounts Payable process to ensure prompt payment to third party vendors & sponsorships.
- Obtains approvals from necessary signature authorities in a timely fashion & in accordance with company policy.
- Work closely with suppliers to ensure timely delivery of goods and services, resolve any issues or discrepancies, and maintain strong vendor relationships.
- Maintain a centralized contract tracking and purchase order database, ensuring accurate and up-to-date records, and generating reports as needed.
- Stay informed about industry trends, regulations, and best practices related to contract and purchase order management.
- Identify opportunities for process improvements and implement streamlined procedures to enhance efficiency and effectiveness.
- Complete all company-based and job-related training as assigned by LEO Pharma within the required timeline.
