REQUIRED QUALIFICATIONS

  • Bachelor’s degree or law clerk certification
  • Minimum 5 years experience in contract administration
  • Proficient in Microsoft Word, Outlook, and PowerPoint
  • Familiarity with SharePoint and contract management software
    This is a Hybrid role; the incumbent is expected to be in the office 1 day per week.

Responsibilities:

KEY AREAS OF ACCOUNTABILITY

  • Coordinating and administering activities associated with the contract life cycle (i.e., procurement, development, drafting, reviewing, approving, and filing) for all business contracts across the organization. This includes funder, professional services, technical services, academic/research, supplier, confidentiality/NDAs, and information technology agreements.
  • Drafting, reviewing, and revising contract terms, with oversight as needed
  • Coordinating calls/meetings involving stakeholders from across the organization to collect and incorporate contract feedback.
  • Ensuring compliance with VHA policies, procedures, and applicable legal requirements to confirm all processes are correctly followed and to flag any areas or concern
  • Facilitating escalation and resolution of unresolved issues
  • Subsequent contract administration including filing signed contracts in the contract management system and appropriately tagging for expiration/renewal/extension etc.
  • Extracting relevant data and information from signed contracts for business use and compliance management purposes
  • Using summary data and other information from signed contracts to improve templates and processes
  • Contributing input and advice to the design and any future development of the contract management system and/or operating procedures to continuously improve contract management processes and drive efficiencies
  • Tracking and proactively addressing the organization’s contracting needs related to renewals, extensions and amendments
  • Monitoring applicable contracting requirements and conducting audits to ensure compliance
  • Supporting the legal department on a variety of commercial and legal governance issues relating to contracted requirements
  • Execute special projects and other responsibilities as needed.
