SKILLS, EXPERIENCE, & QUALIFICATIONS

The individual in this role will have:

  • Degree/Diploma in Business Administration or other related field is an asset; candidates with equivalent work experience will also be considered.
  • A minimum 2 years’ of relevant work experience
  • Experience with the following systems Microsoft Excel, Word & Outlook (experience with Egistix considered an asset)
  • Exceptional interpersonal and communication skills, both written and verbal
  • Ability to maintain confidentiality and exercise discretion when disseminating information to others.
  • Ability to provide thorough and skillful analysis.
  • Ability to manage several priorities simultaneously, adapt to changing business needs and work under pressure to meet timelines.
  • Flexibility to handle multiple routine and non-routine tasks daily.
  • A positive, self-motivated, and energetic team player attitude with a willingness to work independently in a fast-paced and dynamic environment.

Responsibilities:

The responsibilities of this role include, but are not limited to:

  • Preparation, administration, and maintenance of contract databases and filing systems.
  • Ownership of contract files and entry into marketing system as required.
  • Review trade ticket submissions for accuracy.
  • Identify any errors and coordinate with traders for corrections as required.
  • Ensures compliance with company policy and maintain database for internal approvals.
  • Ownership of contract management and distribution of contracts
  • Verifies contract and associated paperwork to prepare a complete contract package.
  • Routes contracts for approval and signing.
  • Submits to counterparty for signing and ensures signed copy is returned.
  • Follows up with counterparty for missing or incorrect contract documents.
  • Maintain database of both soft & hard copies of all trading contracts.
  • Maintain calendar of important dates regarding notifications, cancellations, renewals.
  • Advises Managers of upcoming key dates.
  • Preparation of contract weekly and monthly reports.
  • Maintain counterparty information within the marketing system.
  • Track and file backup legal documentation of changes.
  • Notify/coordinate with various internal groups regarding changes.
  • Support the Sr. Contract Analyst with time sensitive activities during settlement and accruals.
  • Regular audit of contract files and marketing system.
  • Maintains understanding of other Risk and Compliance functions (Credit, Risk Reporting and Pricing) to notify team members of non-standard contract details.
  • Other ad hoc duties as assigned
