Description:

The Conveyancing & Billing Administrator plays a crucial role in preparing Final Sales Summaries, completing closing entries according to statements of adjustment, and managing internal billings. This position serves as a key resource for resolving issues, overseeing processes, and monitoring sales contracts from firming up to completion. All responsibilities must be performed in alignment with company policies and procedures, with a strong emphasis on customer service.

QUALIFICATIONS:

  • 2+ years accounting/ billing experience;
  • Completed High School Diploma;
  • Post-Secondary education is considered an asset;
  • Knowledge of basic accounting principles and math skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook);
  • Excellent communication and interpersonal skills;
  • Strong organizational skills ad ability to work under pressure and complete a large volume of work accurately within timelines;
  • Strong problem-solving skills.
    The selected candidate will be subject to a comprehensive screening process, including a clear criminal record check, favorable references, and a credit check, to ensure our commitment to maintaining a secure and trustworthy workforce. Our standard hours are 8am to 5pm with up to one-hour lunch break (8 hour days). This role will be entitled to flexible Fridays (or one day per week working from home).

Responsibilities:

  • Correspond with sales team, solicitors, mortgage brokers, real estate agents and customers as needed;
  • Maintain clear and effective communication channels throughout the real estate transaction process;
  • Prepares Final Sales Summaries (external billings) and follows sales accounting checklist to ensure all steps have been completed.
  • Ensures all revenues, upgrades, addendums, change orders and GST have been accurately accounted for in each billing;
  • Resolve all billing discrepancies that may arise and maintain accurate financial records;
  • Comply with all deadlines per Accounting and Final Sales Summaries Calendar;
  • Maintain possessions listing up to date at all times including future possessions dates and preliminary revenues;
  • Prepares and records closing entries as per statement of adjustments once proceeds have been booked by Accountant, Treasury;
  • Ensures each transaction has been filled including all supporting documents and applicable correspondence;
  • Requests homeowners’ association brochures from HOA office and couriers these to the lawyer’s office. Once units have closed, ensures all signed brochures are returned to the HOA’s office;
  • Monthly monitors internal clearing accounts and prepares all intercompany billings for company transactions relating to commissions, marketing, visas and overhead;
  • Other billings as required;
  • Assists compiling new contract files, firming deals and preparing related reporting as needed.
  • Coordinates the return of signed GST rebates from lawyers, updates related records in the database and remits these to CRA.
  • Other tasks as assigned/requested by Assistant Controller/Corporate Controller/ CFO
