JOB DESCRIPTION SUMMARY

As Coordination and Expert Tender Specialist you will support the tendering process by preparing tender answers based on the financial, technical and administrative response internally collected in accordance with the public procurement code. You will act as a project manager and will be the key contact between the different stakeholders, bringing them together and sharing information to make sure all parties in the process are aligned. You will play a key role in mitigating risks, thus playing a key role in achieving our goals in the public business priorities. You will report to the regional tender leader and closely collaborate with the local tender team and the management team, based in Diegem (Belgium). This role is mainly onsite in Diegem and open for candidates with fluent Dutch and English.

BASIC QUALIFICATIONS

  • Bachelor’s degree in an Administrative or related field;
  • Good knowledge of the Belgian public tender regulations;
  • Demonstrated experience in roles such as sales support, technical commercial inside sales, related to the tendering process;
  • Excellent verbal and written communication skills: fluent Dutch and English. French is a plus;
  • Proficient in use of Microsoft Office with speed and accuracy;
  • Strong interpersonal and communication skills; pro-active approach, at ease communicating with all levels within a matrix organization, internally and externally;
  • Organizational, project management and time management skills, including multitasking and the ability to prioritize, meet deadlines;
  • Ability to work under pressure against tight deadlines.

Responsibilities:

  • Responsible for administrative and sales support for the tendering process from the detection, dispatch lead, preparing answer until the submission of the tender;
  • Coordinate Tender and associated Offer preparation with the different stakeholders (experts/ modality/segment leaders, Account Managers, Service, Project Managers, Legal) ensure strong, close and on time collaboration;
  • Acting as an information distribution center for the different departments: collect, consolidate and disseminate information from/to all the team members to ensure knowledge sharing and project alignment;
  • Contract analysis including risk flagging for our compliance teams, quality check of all documents before submission;
  • Day-to-day coordination of the local Tender Team;
  • Provide necessary data to order entry team and facilitate clarifications needed;
  • Drive high quality Tender Operations processes and mechanisms, coordinate their implementation and reflect tender data in the CRM tool;
  • Support strategic imperatives (Growth, Simplification & Quality) and initiatives to ensure the fulfillment of business requirements to optimize business performance.
