Location: Derby with hybrid working options

Salary: £26,000 per annum

WHO WE ARE

Arrive Road Transport Services oversee and manages all aspects of coaches, buses, taxis and coordinators which are provided for rail replacement, special events, school support and train crew support across the portfolio of customers within ARTS in both a pre-planned and on an emergency basis.

Responsibilities:

Reporting to the Coordination Manager, you’ll play a crucial role in the day-to-day management of a team of coordinators, ensuring that every rail replacement service we deliver is on time, efficient, and high quality.

  • Managing Coordinators – you will lead and manage the Coordinators and Senior Coordinators in their duties and any training required. Managing Senior Coordinators alongside the other Coordination Assistant and organising check ins.
  • Shift Allocation – overseeing the manual allocation of shifts, ensuring input for cancellations and amendments to all allocated shifts are completed.
  • Cost effectiveness – calculating the safest, cost effective and efficient allocation of coordinator duties
  • Recruitment – recruitment of coordinators, interviewing, onboarding, organising and assisting in training, compiling personnel files and keeping all information up to date in line with GDPR
  • Communication – responding to train operators and customer enquiries, promoting good working relationships with the coordinators
  • Administration – completion of paperwork and spreadsheets in line with day to day duties, ensuring all shifts are monitored and correct whilst distributing weekly coordinator packs for upcoming shifts
  • Reporting – providing updates on coordinator resourcing and shifts, conduct system audit checks, in
  • Payroll – ensuring shifts are allocated on the portal (BRAS) and on the manual payroll system
  • HR – work with the HR team and Coordination Manager to manage Coordinators welfare and any concerns.

What you need;

  • Education; Grade C/4 or above in English and Maths is essential and a degree in Business Administration or similar field would be advantageous
  • Experience; previous involvement of recruiting and performance evaluation processes and similar experience working in a finance and customer service roles.
  • Teamworking: you will have the ability to work in a team but also be able to showcase leaderships skills
  • Organisation: able to deal with multiple requests and priorities
  • Attention to Detail: ensuring everything is accurate and on point.
  • Analytical thinking: strong numerate and methodical skills with the ability to create and analyse reports, spreadsheets and statistics with the ability to solve problems and take initiative
  • Technical; comfortable with IT and can use different software (Microsoft Excel, PowerPoint, Word) with the knowledge of payroll systems
  • Geographic Knowledge: You’ve got a strong knowledge of UK geography – the more roads, routes, and railways you know, the better!
  • Communication: Whether it’s liaising with the team or managing a roster of 280+ casual staff, you’ve got the communication skills to handle it.
