Job Description:
In accordance with the Vision, Purpose, and Values, and strategic direction of the Vancouver Island Health Authority (Island Health) patient and staff safety is a priority and a responsibility shared by everyone; as such, the requirement to continuously improve quality and safety is inherent in all aspects of this position.
Reporting to the Manager or designate, the Coordinator, Administrative Services is responsible for the day-to-day operations, coordination, provision and management of administrative support staff for an assigned geographical area. Builds and leads the administrative support team in providing coordinated, integrated and standardized administrative support services. Responsible for recruiting, hiring, training and evaluating staff, interpreting and applying the collective agreement. Provides advise on support processes and standards related to other programs/services within Island Health.
Travel may be a requirement of this position. Transportation arrangements must meet the operational requirements of the Vancouver Island Health Authority in accordance with the service assignment and may require the use of a personal vehicle.

EDUCATION, TRAINING AND EXPERIENCE

A level of education, training and experience equivalent to a diploma in Public or Business Administration plus 5 years’ recent administrative experience at a demonstrated level of responsibility which includes no less than two years supervisory experience in an office environment. Valid BC Driver’s license.

  • Demonstrated organization, leadership, supervisory, planning and interpersonal skills.
  • Ability to set and maintain priorities, work under pressure and be results oriented.
  • Demonstrated ability to communicate effectively with others at all levels within the organization and with external agencies and the public.
  • Ability to act with tact and diplomacy under the work pressures of time and pace.
  • Ability to utilize word processing, spreadsheet applications, database, multiple software programs, Dictaphone and electronic mail with accurate keyboarding skills, to optimize efficiency.
  • Thorough knowledge of office management systems and a clear understanding of the interrelationship between Administration and the applicable program.
