Description:
REQUIREMENTS/ QUALIFICATIONS:
- Knowledge of HRIS systems (UKG an asset); proficiency with the administrative set up and back-end platform structure of HRIS systems
- Experience with Business Intelligence (BI) Reporting an asset
- Extensive experience with the Google Suite and/or Microsoft 365
- Strong verbal and written communication skills
- Strong acumen in document control and system structures
- Extensive administrative experience with ability to establish priorities, manage conflicting deadlines and respond with appropriate levels of urgency
- Experience in managing high volume scheduling
- Ability to adapt well to change, think ahead and anticipate issues
- Exercise discretion in dealing with confidential and sensitive issues
- A proactive approach to problem-solving and confident decision-making skills
- Self-directed, willing to take initiative to implement improvements
- Ability to work both as part of a team and independently
Responsibilities:
- Assist with the day-to-day operations of the HR Department
- Work with the Director, HR on departmental goals and objectives
- Assist with the implementation and delivery of HR programs and initiatives
- System administrator for UKG (HR system)
- Coordinate and support with the preparation, completion, distribution and filing of HR employee documentation (contracts, memo’s, employee confirmation letters etc.)
- Assist with aspects of the full recruitment cycle i.e. posting positions, scheduling, phone screening, reference checks, etc.
- Maintain and update employee data, ensuring accuracy and compliance with legal and school policies
- Coordinate New Hire on-boarding process and maintain new hire site to ensure a smooth start for new hires
- Support the analysis of HR employee data, metrics, and information to generate insights that will guide recommendations and decision-making
- Ensure HR documentation flow and related records are maintained in accordance to internal control systems, and the requirements of the Ministry; track all TRB certification and criminal record check expiry dates
- Collaborate with the Administrator, Payroll and Benefits to support the accurate processing of the employee cycle (new hires, offboarding, changes, etc.)
- Respond to general employee inquiries and escalate issues as appropriate
- Coordinate the compilation of documentation for Teacher Regulation Branch applications
- Assist the Director, HR prepare for special events/projects such as career fair(s) and orientation day
- Organize employee training programs as needed
- Maintain HR calendar
- Work with the Communications Department on internal communications, website content & updates pertaining to HR matters
- Actively participate on the Joint Health & Safety Committee; schedule monthly meetings, take minutes
- Process receipts and HR Visa for Accounts Payable and enter HR purchases into purchase order system
- Provide lunchtime reception coverage for main switchboard
- Establish a rapport with the whole school community
- Other duties as required
