POSITION SUMMARY:

The Coordinator is responsible for the coordination and support of the day-to-day activities of the Human Resources team including but not limited to tasks related to maintaining personnel records, data management, policy compliance, benefits, recruitment, and onboarding and offboarding processes. This position also assists with other human resources projects.

QUALIFICATIONS:

  • A degree, certificate, or diploma in Human Resources Management, Business Administration, Communication, training and development, organizational development, psychology, or related field, or a comparable combination of education and experience.
  • Minimum of 2 years of experience, accompanied by relevant training and or education
  • Knowledge of:
  • Human resources management, employee benefits; basic accounting
  • Canadian Human Rights Act, BC Human Rights Code, Canadian Charter of Rights and Freedoms, Accessible Canada Act, BC Employment Standards Act

Responsibilities:

  • Maintaining HRIS system and data management systems including data entry, verification, and timely reporting of data.
  • Provide recruitment and selection support including assistance with hiring processes including job posting, screening, reference checking, scheduling and coordinating candidate interviews, conducting criminal record check verifications, and offers of employment.
  • Onboarding and offboarding of staff
  • Administering and tracking performance management and leave of absence information as needed.
  • Coordinating registrations, applications, requests, and bookings for staff training.
  • Responding to routine questions regarding internal policies and procedures.
  • Assist with projects and other work that fall within the scope of onboarding, offboarding, learning and development, and performance management.
  • May provide day-to-day coordination of all employee benefit plans
  • Oversee employee-benefit enrollment, maintenance, and termination
  • Participate in benefit presentations for new hires and on an ad-hoc basis
  • Oversee regular communication with employees and their supervisors to provide necessary information and education to benefit plan participants
  • Coordinate with external bodies regarding education and training workshops and promotional materials
  • Provide timely response to employee inquiries regarding benefit plans and claims and assist with confidential, benefit-related issues, liaising with benefit carriers as necessary
  • Assess and mitigate risk while performing all duties referring to legislation (e.g. Employment Standards, Human Rights Act, etc.), current HR practices, policies, employment law, conferring with supervisor, colleagues, and consultants
  • Assess policies from a risk perspective and make recommendations for change
  • Escalate issues to supervisor as needed
  • Assist in the management of the HR team’s finances
  • Purchase program resources and materials within the approved budget
  • Authorize expenses within the coordinators’ limit
  • Reconcile department credit card statement
  • Code and submit invoices for payment
  • Perform backup duties for the HR Generalist as needed
