JOB SUMMARY

Council & Committee Services is responsible for managing the operations of the City Council, its Standing Committees, Advisory Committees as well as other ad hoc committees, task forces and groups. The branch also provides administrative, financial, human resources and information technology support to the Offices of the Mayor and Members of Council in accordance with the Municipal Act, 2001.
You are accountable for the coordination and supervision of daily activities in support of the management of the operation of standing committees to enable the orderly conduct of Standing Committee meetings or such other meetings held in accordance with the Statutes of Ontario and its regulations, governing By-law(s) or pursuant to Council directives or policies. This includes providing administrative support to the assigned standing committee(s), and assembling and organizing all communications, correspondence, submissions, reports, motions, and other documents required in the preparation of agendas, and reports to Council.

EDUCATION AND EXPERIENCE

Completion of university degree in Public or Business Administration or related field
Minimum of 4 years of experience in performing secretariat services, including preparation of agendas and minutes.

KNOWLEDGE

  • Regulations and practices governing the proceedings of Council and its Standing Committees.
  • Knowledge of the Statutes of Ontario as they apply to the proceedings of Committees, Boards and other such meetings and the qualifications and conduct of officials prescribed by law to be in attendance.
  • Functions and responsibilities of municipal government.

  • Organize and prioritize work and work flows
  • Exercise sound judgement in order to apply and interpret rules of proceeding established by statute or by-law.
  • Exercise discretion, initiative, tact and alertness and high degree of confidentiality in dealing with administrative and politically sensitive matters
  • Above average written, oral communication and listening skills.
  • Communicate effectively orally and in writing.
  • Learn and apply at an efficient level new software acquired by the Corporation.
  • Flexibility and ability to cope with stress effectively.
  • Strong communication skills.
  • Excellent interpersonal skills and the ability to interact cooperatively, effectively and efficiently with elected and appointed officials, department heads, staff and the public.
  • Be self-directed and able to balance competing demands
  • Must have a strong public service orientation and be sensitive to a political environment

  • Language Requirement: Designated Day 1 Ready – immediate requirement for language proficiency: French: oral, reading, writing required. English: oral, reading, writing required. Candidates must meet language requirement for position upon hire.
