Intelligent Wellhead Systems (IWS) is currently seeking a full-time, permanent Corporate Administrator to join our team in Calgary, Alberta. IWS designs, tests, manufactures, and deploys proprietary and unique digital safety and efficiency workflow technologies for oil and gas well completion operations. The company’s inVision™ Technology Platform help oil and gas and oilfield service companies reduce operating risk, lower the total cost of operations, and improve uptime. IWS is in search of a highly motivated Corporate Administrator with over 1 year of experience in office management, reception, event coordination, and social committee activities to join our team. The ideal candidate should thrive in a pet-friendly work environment and possess strong organizational and communication skills. Reporting directly to the Vice President of Finance & Accounting, this candidate will also collaborate closely with the Director of Manufacturing and Human Resources Coordinator to promote interdepartmental teamwork.
REQUIREMENTS:
- Valid driver’s license and reliable transportation.
- Certificate/diploma in Business Administration, or relevant work experience.
- Minimum 1 year of related work experience with increasing responsibilities.
- Proficiency in Microsoft Office software.
- Demonstrated ability in developing and maintaining administrative organization and processes.
- Strong communication, teamwork, and attention to detail.
- Ability to handle challenging situations effectively and maintain confidentiality.
- Capability to work independently with minimal supervision.
Responsibilities:
- Arrange and manage monthly Staff Appreciation lunches, complete with catering, for 65+ people.
- Organize on and off-site Company events such as Calgary Stampede and winter holidays, along with year-round holiday celebrations upholding cultural diversity.
- Coordinate Company Swag distribution in collaboration with the Human Resources Coordinator
- Manage recognition programs in collaboration with the Human Resources Coordinator such as Milestone, Anniversary, and Appreciation.
- Handle all reception duties such as welcoming visitors, addressing inquiries, and preparing meeting rooms.
- Maintain office supplies inventory, reordering supplies as needed.
- Receive, sort, and manage incoming/outgoing mail and deliveries.
- Provide general administrative support.
- Act as the on-site contact for service providers like cleaning, coffee, water services, and building management.
- Manage kitchen inventory of all food and drink, ensuring kitchens remain properly stocked, placing grocery orders as needed.
- Maintain overall cleanliness of the building, including offices, kitchens and bathrooms.
- Support the Director of Manufacturing with documentation, memos, and special projects as needed.
- Coordinate meetings and gatherings as requested.
- Assist in maintaining a safe, secure, and enjoyable working environment.
