Join our team as The Administrative Assistant/Counseling Specialist with our Counseling program! The Administrative Assistant is responsible for providing the Counseling Services Program with administrative support in several key areas including data entry, intake functions, scheduling client appointments, maintenance of client records, running internal program reports, assists with training interns and volunteers, and performance of general receptionist duties. Also provides direct support to the program’s Office Manager.

  • You have High School diploma or GED.
  • You have two (2) years of experience in an administrativerole.
  • You are Bilingual (English/Spanish)

  • You demonstrateorganizational and time management skills.
  • You demonstrate positive people skills in dealing with staff, clients, volunteers, vendors, and supervisors.
  • You have strong verbal and written communication/listening skills.
  • You have strong working knowledge of Microsoft Word, Excel, and Outlook.
  • You have the ability to maintain and handle confidentialclient information.

What you Deliver

  • You will monitor submission of clinical notes and completes data entry for measurable outcomes data into the ETO system and other database systems as instructed. Handles filing for measurable outcomes and some clinical documentation. Is responsible for filing and managing 100% of School Counseling files.
  • You will reviewclient charts on a Quarterly basis to ensure record compliance; Provides Clinicians individualized corrective action reports identifying issues and/or specific documents not in compliance; Aids in client chart assembly and filing, includes printing dividers, labels, and in and out cards. Runs internal program reports to track timeliness of documentation submission
  • You will aidin providing training to new staff, volunteers, and interns. Includes creating/updating training materials, providing training, and assigning tasks.
  • You will processmail, faxes, and photocopies for the program; Prepares packets for new clients.
  • You will stockforms and supplies in the workroom.
  • You will perform other duties as assigned.
