Join our team as the Office Manager! The Office Manager in Counseling and Behavioral Health Clinic is responsible for business operations and administrative processes within the Counseling and Behavioral Health Clinic. Key tasks include managing intakes and referrals, managing the programs outputs and outcomes data, and ensuring client charts meet agency standards. This position is also responsible for managing the programs billing and credentialing activities and advising the Program Director of the programs financial standing. Responsible for development, ongoing management and exercise of discretion and independent judgment with respect to matters of department budget including fiscal year planning/monthly management of financials. The Counseling Services Office Manager also engages in networking and outreach activities to promote the departments services in the community. The position reports directly to the Program Director and will provide supervision and oversight to the Counseling Services Administrative team. The successful candidate will have excellent time management skills, the ability to balance multiple priorities, strong communication skills, and will approach clients with exceptional customer service.

  • High School Diploma or GED
  • Two (2) years of experience in office management
  • One (1) year of leadership experience
  • Bilingual in English and Spanish
  • Valid Texas Drivers License

  • Advanced skills in the use of Microsoft Word, Excel, and Outlook.

What you Deliver

  • Responsible for all aspects of managing/supervising department administrative team to include: human resources talent management functions including, but not limited to hiring, termination, supervision, performance management, recruitment, team meetings, and training.
  • Responsible for development and management of all department related agency and funder reporting, including agency annual report. Data program management across multiple department service lines.
  • Responsible for development, ongoing management and decision making, exercise of discretion and independent judgment for department budget including fiscal year planning/monthly management of financials. Liaison with agency accounting staff to identify and coordinate budgeting activities. Responsible for development and management of all budget related tracking spreadsheets/databases for revenue/expenditures. Develop a comprehensive department budget and perform periodic budget analyses. Responsible for all program insurance billing and credentialing.
  • Design business strategies and plans to meet department goals. Ensure all department activities adhere to legal guidelines and policies. Assess overall department performance. Serves as back up to department director as needed.
  • Performs other duties as assigned.
