Description:

The Court Services Officer role presents an exciting opportunity to actively contribute to modernizing and improving the court system, emphasising safety, innovation, efficiency and enhanced access to justice. As part of a dynamic team dedicated to shaping a more responsive and user-friendly court experience, this position offers a chance to make a meaningful impact, adapt to evolving practices, and play a vital role in the transformation of Queensland courts. To fulfil your responsibilities of ensuring the effective execution of administrative processes, case management, and providing support to judicial officers in the courtroom, contributing to comprehensive services for members of the public, judicial officers, and various internal and external stakeholders.

YOU WILL:

  • Provide administrative support to ensure the efficient and effective operation of Court Services Queensland registries.
  • Provide frontline services to court users on a daily basis, over the phone, in person and/or in court. In doing so, you will keep stakeholders of the courts at the heart of service delivery and respond to their needs in a trauma-aware and compassionate manner, ensuring the prompt resolution of enquiries, requests issues and complaints. Where required, in-court duties may include but need not be limited to:
  • Unlocking and preparing courtrooms for the scheduled sittings.
  • Making proclamations when opening, adjourning, resuming, and closing courts.
  • Administering oaths and affirmations to jurors, witnesses, and interpreters.
  • Maintaining security, care, and control of jurors.
  • Handing out exhibits and other documents in court as required.
  • Testing and operating courtroom technology and equipment.
  • Recognise and action any risks presented relating to Domestic, Family and Sexual Violence (DFSV), including anti-social behaviours of court users by collating available information and escalating to senior colleagues.
  • Adhere to established administrative processes, policies and procedures related to court and registry operations in strict accordance with relevant legislation, departmental policies and procedures to ensure timeliness and accuracy. Support the Registrar in the efficient management of daily operations, including the coordination of court proceedings and delivery of services including the preparation and processing of complex court matters.
  • Skilfully prepare, process, and manage a range of administrative and financial documents, such as correspondence and court records, in strict accordance with relevant legislation, departmental policies, and procedures to ensure timeliness and accuracy.
  • Provide technical and administrative support to Magistrates in court and provide procedural support and advice to court users at the counter, over the telephone and in writing.
  • Cultivate and nurture professional and collaborative relationships based on respectful and confidential engagement with key stakeholders including judiciary members and their staff, government agencies, self-represented litigants, and the general public.
  • Use, update and monitor relevant databases, digital tools, and files in line with departmental guidelines to ensure the integrity and accuracy of data.
  • Provide appropriate information to members of the public and other internal and external stakeholders about court and registry services, court rules, practices and procedures.
  • Take ownership of developing skills, maintaining up-to-date knowledge of current practices and procedures, seeking feedback, and staying motivated when managing challenging tasks.
  • Collaborate with the team to identify, communicate, review, and progress service improvements to registry processes and procedures.
