Responsibilities:
The specific duties of the role are to support the delivery of educational curriculum for Core and Specialty Trainees across Human Factors in Patient Safety (HFPS) & Operative Surgical Skills (OSS) courses for Core Surgical Trainees. Working with surgical training administration, internal and external faculty and course directors, trainees and technical support to ensure the courses are supported throughout the academic year the successful candidate will be;
- Supporting the Core Surgical Training Team Lead with the general day-to-day administrative tasks linked to the successful delivery of the Core Surgical Training Programme with specific duties assigned to the Educational activities supporting HFPS & OSS courses throughout the academic year.
- Working collaboratively with the Team Lead, broader CST Team, Quality Team, Trainees and Trainers and RCSI lead faculty to ensure the effective running of the courses and the delivery of a highly flexible, responsive and effective service to all.
- Manage the tasks relevant to supporting the courses, bookings, catering, payments, attendance, trainee queries and support as required.
- Be present on site in RCSI to programme support for any courses and events applicable to the role.
- Maintain the calendar for all courses throughout the year, faculty participation and expected participants. Ensuring the calendar is in sync with Momentus ( RCSI online booking system)
- Attend weekly operational Educational meetings to brief faculty and tech staff on updates and discuss any changes on the calendar or with classes. Manage ongoing requirements of the classes as they arise.
- Book faculty for upcoming classes in advance, liaise with faculty to confirm and manage faculty bookings, faculty payments and follow up information. Ensure the Faculty register is maintained.
- Follow department policy on updating Moodle for individual classes, checking trainee signup and contacting trainees with class reminders as required.
- Support all team members on the organisation & delivery of the educational programme across OSS and Human Factors in Patient Safety (HFPS) annual assessments.
- Co-ordinating or supporting ad hoc Surgical Training events and courses as required or requested by the Team Lead.
- Undertake training on key databases utilised within the department such as, CRM, mSurgery, Qpulse, Qpercom, Moodle, Momentus as required.
- Liaising with relevant internal stakeholders (Bookings, agresso, Faculty, Technical Staff, IT, Finance) as required.
- Ensure accuracy and consistency across all administrative processes.
- Respond to and deal with queries in a professional and courteous manner.
- Attend team meetings and contribute to the overall success of the team through sharing of information, effective teamwork, management and ownership of responsibilities.
- Undergo programmes of training and development as may be required from time to time.
- Complying with statutory legislation and department rules, requirements in furtherance of their own and general staff welfare and safety.
- Representing the best interests of the Department and RCSI at all times.
- Performing other duties as may be required from time to time.
