MINIMUM QUALIFICATIONS
- Post-Secondary Degree in Education required; combination of education and/or experience will be considered.
- Extensive knowledge of and proficiency in Google Apps and Microsoft Office (Word; Excel; PowerPoint; Visio); adaptable with using computing software and emerging educational technologies
- Ability to learn, use and support others on program delivery and curriculum management software (MedSIS)
- Minimum of 5 years administrative experience
- Strong understanding of internal policies and procedures; and familiarity with the general operations of the University of Alberta
- A strong technical knowledge is required to manage the increased complexity in course design and software used for curriculum management (MedSIS). Problem-solving skill is required on a daily basis to both administer the course and in using software.
- Must be able to work under limited supervision
- Event planning experience would be an asset with respect to prioritization of multiple tasks and being able to complete all of them prior to deadline
PREFERRED QUALIFICATIONS
- Must be highly organized and efficient.
- The individual must also have a high level of customer service as they are constantly in communication with students, physicians, and other administrators.
- Preference given to those with experience working in a post-secondary setting.
- Experience in medical education is an asset.

Responsibilities:
Course Preparation
- Plan and create detailed course schedules with the Course Coordinator incorporating small groups and personalized student schedules
- Populate MedSIS (Curriculum Delivery and Program Management System).
- Set up evaluations and groups in MedSIS
- Makes schedule changes as they arise
- Compiles all course manuals – schedules, handouts, objectives, cases, small group assignments, room assignments – and post in MedSIS.
- Compiles all other materials that include electronic handouts received from individual instructors in PowerPoint, PDF, Word and posts to MedSIS program.
- Creates room assignments for all courses.
- For Physical exam sessions recruit preceptors, set up for the sessions, create groups, attendance sheets, order equipment, request standardized patients
- For longitudinal clinical experience – coordinate student schedules and manage attendance
- Create interactivities and assignments through google apps, Survey Monkey, and other software as needed
- Organizes and recruits preceptors and patients for physical exam and communication sessions, and other various small group sessions
- Organizes and recruit faculty to coordinate special sessions such as site visits to facilities throughout Edmonton and surrounding areas, including addiction centres, long-term care facilities; that allows students to interact with staff and patients; liaise with site contacts to finalize details pertaining to visit(s) and notify students of same
- Ensures copyright logs are completed and appropriate permissions are received for inclusion of articles/journals in course manual
- Arranges for all special materials – textbooks/DVD’s – to be available for student purchase in bookstore
- Maintains accurate and up-to-date course information and advise students and/or instructors of same
- Advises of changes to location of lecture theatre(s) and small group rooms and cancellation or postponement of sessions
- Create and schedule shadowing experience session for the students
- Organize and set up all small group sessions.
- Coordinate session materials needed in any sessions outside University.
- Create and maintain web pages
On-going Support to Course Coordinators
- Initiates collaboration with Coordinators over details of upcoming course to ensure requirements are implemented and potential issues averted
- Set-up course committee meetings as needed and provided follow-up
- Produces final schedule from details collaborated with coordinator
- Meets with Coordinator as needed while course is running
- Troubleshoots on Coordinators behalf
- Acts as first point of contact for coordination/issues/concerns with rooms, equipment, etc. and informs Coordinator as needed
- Provides the Coordinator feedback regarding DL cases from tutors.
- Booking meeting room for coordinator/student meetings
- Collection of session materials to be posted in the online curriculum system
On-going support to Instructors
- Sends an invitation, on behalf of Coordinator, to all instructors to ensure they are available to teach on dates/times needed. Provides alternate dates/times if instructor(s) is unavailable
- Confirms all instructors via personalized teaching schedule
- Requests and collects handouts for course materials and posts in the MedSIS program.
- Follows up with instructors on weekly basis to confirm their teaching assignments
- Maintains all postings of presentations and lecture recordings in the MedSIS program.
- Notify instructors of locations/links via calendar invites
- Addresses any scheduling conflicts and resolves appropriately
- Troubleshoot evaluation issues.
On-going support to Students
- Ensure appropriate course materials are available to students in MedSIS program
- Upload and edit lecture recordings via Yuja to MedSIS for student access
- Updates bulletin board with important information
- Corresponds with class as needed regarding changes to schedule, small group location, etc
- Liaise with class as needed ie: announcements, walk-in requests, emails, etc
- Troubleshoot, advocate, address and/or redirect any students concerns, issues and requests
- Meets with the AV rep and class rep to review process, expectations from the MD Program office
