JOB SUMMARY:

We are seeking a friendly, professional, and detail-oriented Customer Service & Administrative Support Representative to join our team at Douglas Village Shopping Center. This dynamic role combines exceptional customer service skills with administrative duties to ensure a seamless experience for our shoppers, tenants, and internal teams. As the first point of contact for both customers and business operations, you will play a critical role in fostering positive relationships, addressing concerns, and supporting daily administrative tasks within the center.

QUALIFICATIONS:

  • High school diploma or equivalent; additional education in business administration or customer service is a plus.
  • 2+ years of experience in customer service or administrative support, preferably in a retail or shopping center environment.
  • Strong interpersonal skills with the ability to communicate effectively with diverse groups of people.
  • Detail-oriented with excellent organizational and time management skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with customer management software.
  • Ability to multi-task, prioritize, and work in a fast-paced environment.
  • Friendly, approachable, and professional demeanor.
  • Availability to work flexible hours, including weekends and holidays as needed.

Responsibilities:

  • Customer Service:
  • Greet and assist customers, providing information about the shopping center, its services, and current promotions.
  • Handle customer inquiries, concerns, and complaints both in person and via phone or email, ensuring quick and satisfactory resolutions.
  • Provide assistance with lost and found items, gift card services, and other customer-related requests.
  • Maintain a professional and approachable demeanor, ensuring positive experiences for all visitors.
  • Administrative Support:
  • Assist with administrative tasks including data entry, scheduling, and managing documents related to tenant requests, events, and promotions.
  • Maintain accurate records of customer inquiries, complaints, and resolutions in the center’s database.
  • Support the operations team with preparing reports, organizing files, and handling other office-related tasks as needed.
  • Coordinate communication between tenants, management, and customers to ensure smooth operations.
  • Event Coordination:
  • Assist in the planning and execution of shopping center events, promotions, and seasonal activities.
  • Collaborate with marketing and event teams to help promote activities through flyers, social media, and customer interactions.
  • Tenant Liaison:
  • Serve as a point of contact for tenants, helping them with routine requests and directing them to appropriate resources within the center.
  • Assist with maintaining good relationships between tenants and management, offering support for operational matters.
  • General Office Support:
  • Assist with ordering office supplies, maintaining inventory, and organizing center materials.
  • Coordinate with vendors and service providers for regular maintenance and facility needs.
  • Ensure common areas are well-stocked with informational materials and promotional items.
