We are looking for a Customer Service & Invoicing Assistant to join our growing team. Job Purpose:
The Customer Service & Invoicing Assistant will be responsible for managing customer queries, processing job data, handling invoicing tasks, and supporting our customer service department in a fast-paced, sometimes pressurised environment. The role requires excellent customer service skills, attention to detail, and the ability to work efficiently with both customers and internal teams.
Key Responsibilities:

Customer Service:

  • Respond to inbound calls from customers, addressing inquiries and providing high levels of service.
  • Respond to email queries from customers, ensuring professional and timely communication.
  • Maintain customer accounts, ensuring all details are accurate and up to date.
  • Process customer job data and assign it to the relevant engineer.
  • Review engineer job reports and report accordingly to management and customers.
  • Provide ongoing support to customers, resolving issues and ensuring satisfaction.

Invoicing & Finance Support:

  • Create, process, and issue invoices for services/products delivered, ensuring accuracy and compliance with company policies.
  • Liaise with the finance department to ensure timely payments and resolve discrepancies.
  • Assist with payment tracking and follow up on outstanding invoices.
  • Ensure all invoices are issued within the required timelines.

Administrative Support:

  • Enter job data into the software system, ensuring it is accurate and properly assigned.
  • Maintain organised and accurate records of customer interactions, job data, invoices, and payments.
  • Provide support to other departments when required, ensuring smooth operations across the company.

Key Skills & Qualifications:

  • Experience: Previous experience in customer service, preferably in a fast-paced environment. Experience in invoicing or finance support is a plus.
  • Communication: Strong written and verbal communication skills, with a professional telephone manner and the ability to handle customer queries effectively.
  • Attention to Detail: Ability to perform data entry and administrative tasks accurately and consistently. Error-free work is essential.
  • Technical Proficiency: Solid understanding of Microsoft Office (Outlook, Word, Excel). Full training will be provided on company-specific software.
  • Maths & Literacy: A basic knowledge of maths and good written communication skills. GCSE English and Maths at Grade C or above is essential.
  • Time Management: Ability to prioritise tasks effectively and manage time in a fast-paced and sometimes pressurised environment.
  • Teamwork: Collaborative, team-oriented approach with a desire to meet customer expectations and support colleagues.

Working Conditions:

  • Office-based position, with working hours from 8:30 am to 4:30 pm, Monday to Friday.
  • Fast-paced environment that may require handling multiple tasks at once.
  • There is no option for remote working.

Job Types: Full-time, Permanent
Pay: From £12.00 per hour
Expected hours: 37.5 per week
