Position Overview: We are looking for a compassionate and dedicated Customer Service Representative to join our team. In this role, you will be the first point of contact for clients and visitors, providing exceptional customer care and front desk support. Your responsibilities will include greeting clients, assisting with paperwork, scheduling appointments, and performing various clerical duties. You will also handle phone calls with enthusiasm, compassion, and professionalism.

  • Experience in a medical office front desk, call center, or administrative role.
  • Strong oral and written communication skills.
  • Understanding of confidentiality and discretion.
  • Proficiency with computers and ability to learn new software.

Responsibilities:

  • Greet clients and visitors with enthusiasm and professionalism.
  • Assist clients with paperwork and ensure all documents are properly completed and filed.
  • Schedule appointments for services and obtain necessary prior authorizations.
  • Handle phone calls, perform phone assessments, and answer client questions.
  • Advocate for treatment and provide information about our services.
  • Properly and accurately document data related to client interactions.
  • Communicate with staff regarding clients and services performed.
  • Perform client chart audits and work with staff and physicians to ensure proper documentation and billing.
  • Complete daily paperwork and enter data into the designated system.
  • Assist with transportation coordination for clients as needed.
  • Perform other clerical duties including inventory and maintenance of supplies, copying, faxing, scanning, and mailing as assigned.
  • Maintain confidentiality in compliance with HIPAA guidelines.
  • Follow processes and scripted procedures.
