Position Summary: We are seeking a detail-oriented and customer-focused individual to join our team as a Customer Service Representative. In this role, you will be responsible for facilitating the wellness assessment process, supporting backend operations, and ensuring a seamless experience for our clients.

QUALIFICATIONS:

  • Excellent customer service skills with a commitment to ensuring a positive client experience.
  • Strong organizational abilities and attention to detail to manage scheduling and backend support tasks efficiently.
  • Proficiency in using digital platforms and comfortable learning new software tools.
  • Effective communication skills, both written and verbal, to interact professionally with clients and internal team members.
  • Ability to work independently and collaboratively within a team environment.

PREFERRED QUALIFICATIONS:

  • Previous experience in customer service or administrative support roles, particularly in a wellness or healthcare setting, is advantageous.
  • Familiarity with Mindbody or similar scheduling and management software is a plus.

Responsibilities:

Wellness Assessment Support:

  • Schedule appointments for wellness assessments through our booking system.
  • Guide clients through the TypeForm questionnaire on their appointment day.
  • Coordinate and manage 20-minute consultations with Ana, our wellness consultant.
  • Assist clients in accessing and understanding their health goals and recommendations from the emailed reports.

Backend Mindbody Support:

  • Update master records of residents’ visits and appointments in the Mindbody system.
  • Maintain accuracy in event listings and updates within Mindbody.
  • Troubleshoot technical issues related to the Mindbody platform to minimize disruption for our on-ground team.

Customer Queries Management:

  • Respond promptly and professionally to customer queries and concerns via WhatsApp and other communication channels.
  • Provide accurate information about our services, appointment availability, and wellness assessment process.
  • Ensure a high level of customer satisfaction through effective communication and problem-solving skills.
