Description:

We are offering a contract to hire employment opportunity for a Customer Service Representative in Irvine, California. In this role, you will be primarily responsible for developing professional rapport with assigned account contacts and affiliates, as well as managing and tracking work orders. Furthermore, you will be expected to effectively communicate with customers and affiliates, and handle responsibilities related to the National Accounts Workflow Billing System.

SKILLS REQUIRED:

  • Proficiency in MS Word, MS Excel, and Microsoft Outlook
  • Experience in a call center customer service environment
  • Ability to perform data entry tasks accurately and efficiently
  • Experience handling customer invoices
  • Experience in dispatching and job scheduling
  • Proficiency in MS Word, MS Excel, and Microsoft Outlook is required.
  • Prior experience in a Call Center Customer Service role is essential.
  • Ability to perform Data Entry tasks accurately and efficiently.
  • Experience in handling Customer Invoices is necessary.
  • Must possess Dispatching skills.
  • Familiarity with Job Scheduling in a customer service environment.
  • Excellent communication and interpersonal skills.
  • Strong problem-solving abilities and attention to detail.
  • Ability to handle multiple tasks and prioritize effectively.
  • Must demonstrate a high level of professionalism and customer focus.
  • Excellent time management skills.
  • Ability to work in a fast-paced, high-volume environment.

Responsibilities:

  • Develop positive and professional rapport with assigned account contacts and affiliate subcontractors
  • Communicate effectively with customers and affiliates via telephone and email
  • Receive and dispatch work orders in line with customer expectations
  • Monitor the status of all open and closed work orders, updating status notes as necessary
  • Follow up on completed inspections with affiliates to ensure timely submission of reports, paperwork, and invoices
  • Review the National Accounts Workflow Billing System’s exception management queue and mark-up queue daily
  • Accurately mark-up/price the service and inspection calls before submitting them for billing
  • Review all paperwork for completeness and accuracy before invoicing
  • Handle disputes over incorrect invoices from affiliates and request missing paperwork as needed
  • Monitor Not to Exceed (NTE) amounts on customer Purchase Orders (POs) prior to mark-ups
