The Customer Service Specialist for Massey Comprehensive Cancer Center is a forward-facing position that focuses on providing exceptional customer service. Greets visitors, staff members and students, assists visitors with information or direction inquiries, answers the phone and/or directs callers, and receives incoming mail and packages.
In this position, the candidate will be responsible for the following:
- Consistently provide excellent customer service to the Massey Cancer Center faculty, staff, patients and guests as the Center’s customer service specialist. This includes, but is not limited to, maintaining a clean and professional workspace for greeting visitors at the receptionist desk.
- Position directs visitors and incoming calls to appropriate Massey Comprehensive Cancer Center divisions and provide contact for visitors needing access to secure areas.
- Coordinates receipt of front desk deliveries, USPS and intra campus mail to the Massey Building and the Goodwin Research Laboratory. Notifies recipients of arrival to ensure timely pickup. Serves as the coordinator for all outgoing packages from Massey and is responsible for communicating best practices related to outgoing mail and packages. This includes knowing outgoing and incoming schedules and practices for Fed Ex, UPS, USPS, and any other delivery services. When needed receives packages to the loading dock
- Schedules the conference rooms in the Massey Building, Goodwin Research Laboratory and MMEC. Ensures calendars remain current with requested changes and post schedules. This position is to answer email requests in a timely manner and confirming room reservations with signage as needed.
- Provides assistance to staff with room and catering setups upon request. This includes receiving requests for conference rooms
- Provides routine administrative support for the Massey divisions as requested
- This position should maintain a working knowledge of parking options for visitors and advise guests as needed on proper parking procedures (guest passes needed, paid options available and approximate pricing, etc.)
- This position should be familiar with VCU security and emergency procedures and know how to secure the building and follow emergency protocol
