House of Friendship is a charitable social service agency serving thousands, providing addiction treatment, food, housing, and community resources throughout Waterloo Region. The Strategy Quality team stewards the data, evaluation, and decision-making tools that support House of Friendship’s team members, leaders, and Board of Directors to improve services, manage risk, advance strategic priorities, and strive towards quality improvement. This position is the in-house database administrator and technical expert for the client management system of electronic health records, and other related databases. This role supports continuous improvement and quality control of program and participant record databases, and supports data analysis and reporting. This position is mainly internal (team-facing) with some external facing interaction with database system providers.

JOB SPECIFIC KNOWLEDGE/SKILLS:

  • Exemplary attention-to-detail with a collaborative, curious and determined attitude towards problem-solving and continuous improvement
  • Proven capacity to input, organize and manage data with speed and impeccable accuracy
  • Demonstrated reporting skills, with high attention to detail and accuracy
  • Strong skills in Microsoft Office Suite, Power BI, Power Query, and Data Analysis Expressions (DAX)
  • Commitment to upholding privacy and confidentiality requirements while working with personal health information
  • Internally motivated with the ability to work comfortably and effectively independently
  • Ability to work professionally as a team member with direct service staff and organizational leaders

EDUCATION/EXPERIENCE:

  • University degree or college diploma in a related field
  • A minimum of 3 years work experience in data management/database administration
  • Technical knowledge and experience with client management systems, electronic health records, and/or health care reporting including Mental Health and Addictions provincial data reports Experience with EMHWare is a strong asset
  • Experience with and strong skills in internet-based data systems including report generation and data analysis

Responsibilities:

  • Maintain highly accurate, comprehensive, responsive and user-friendly program and participant databases with high data integrity
  • Provide standard and ad hoc reports that support the team with reporting, presentations, and quality improvement initiatives
  • Provide day-to-day technical support for team members who use the electronic health record (EMHWare) including: technical troubleshooting, assigning and removing user rights, and managing software issues and change requests with the software provider
  • Support the Data Analyst in developing and maintaining data dashboards
  • Support the Data Analyst in reporting to and from external agencies and data portals (MOHLTC, funding agencies, CIHI, etc.)
  • Design and map data models to transform raw data into insightful information
  • Contribute to process standardization and tool development to support improvement within the organization; identify, recommend and implement database improvements to streamline processes and ensure data integrity
  • Commitment to ongoing professional development and training
  • Support the Strategy Quality team as required
