JOB SUMMARY: The Database Administrator is responsible for assisting in developing and implementing engagement and fundraising strategies to enhance and grow revenue of donors. The primary focus of this position is to oversee the quality, integrity and accuracy of all donor information and gifts entered into Donor Management database. This includes pledges, checks, cash, online credit card gifts, in-kind gifts, matching gifts, and honor/memorial gifts.

JOB REQUIREMENTS:

  • Education /Background: Minimum of a Bachelor’s degree required in relevant field with at least 2 years of supervisory experience preferred.
  • Job Knowledge: Knowledge of administrative and clerical procedures, fluent in Microsoft Office applications (including Word, Outlook and Excel). Experience with Raiser’s Edge or equivalent donor management software. Ability to analyze problems and utilize internal or external resources to offer solutions. Excellent attention to detail. Ability to organize and prioritize work. Versatility, flexibility, and willingness to work in a fast-paced environment. Bilingual in English and Spanish preferred. Excellent written and verbal communication skills. Excellent team work skills. The ability to work both independently with little supervision. Be able to multi task during daily work schedule.
  • Working Conditions/Physical Demands: Works in normal office setting with moderate noise level. May be required to travel outside office on occasion and lift office supply boxes, etc.

  • Valid AZ driver’s license, reliable transportation and ability to show proof of registration/insurance.
  • You must be 21 years of age or older to drive on behalf of Catholic Charities.
  • Level One Fingerprint clearance or ability to obtain fingerprint clearance; must maintain clearance.

Responsibilities:

JOB DUTIES:

  • Responsible for data entry for all constituent records so that the processing, tracking, reporting and acknowledgement of all gifts and engagement activities are performed in accurate and timely fashion.
  • Manages assigned relationships to increase engagement and revenue.
  • Manage all aspects of donor management database including, but not limited to: structure and integrity as it relates to fundraising strategies and tactics, Train and support database end-users, maintaining standards and procedures, import and export data, global add and changes to records, gift and constituent coding, duplicate management. Keep up to date on software upgrades, suggested best practices and industry standards.
  • Ensure infrastructure is up to date and functioning at maximum capacity.
  • Achieves annual fundraising goals with assigned accounts including donor participation rates, and leadership giving participation.
  • Works with Director of Philanthropy to create solicitation and year-round engagement strategies with assigned workplace accounts to retain current and attract new donors in order to raise more revenue and increase overall engagement.
  • Discovers donor companies’ corporate social responsibility and/or workplace giving objectives identify opportunities that align with Catholic Charities’ goals, and work with staff to create engagement initiatives and opportunities.
  • Strategically secures funds outside of annual campaign through corporate sponsorships, events and projects for community impact initiatives.
  • Works collaboratively with staff to meet annual revenue and engagement goals.
  • Ensures accuracy and timeliness of data input.
  • Maintains current understanding of community goals and initiatives, focus areas, successes and overall results to effective communication to donors and at community events.
  • Ensure that the data derived from these activities are maintained in accurate and up-to-date status, and can easily be accessed.
  • Analyzes gifts to determine correct coding based on campaigns, funds, appeals for each gift processed.
  • Preparing and provide quality assurance for mailing and donor lists for appeals, reports, and events.
  • Executes daily/monthly gift reconciliation with the Finance team.
  • Maintains and improves donor relations by ensuring accurate and timely handling, recording, receipting, and acknowledgement of gifts and related data nationally.
  • Assist in processes associated with imports, gift distribution, entry and acknowledgment occurring at/from other CCCS sites.
  • Generate customized queries, reports, lists for national and site development activities, including lists, exports, revenue, renewal and pledge reports, performance analysis reports etc.
  • Supervise assigned Philanthropy Department staff, volunteers and interns that work in Raisers Edge, ensuring that data entry staff follow proper documentation and accounting principles and standards.
  • Ensure that all coding and table entries are consistent, well maintained, and adhere to protocols.
  • Audit database records for accurate coding, maintenance of constituent records and data integration; responsible for global changes, creating and mapping required fields.
  • Proactively identify and implement database modifications to support accurate recording and reporting; participate in systems analysis of donor database and related software.
  • Review current systems and lead efforts to improve work flow and overall support to fundraising efforts. Establish and maintain a structure within the database to effectively identify specific segments of data for various analysis and targeted fundraising and marketing efforts.
  • Respond to staff and constituent questions regarding data issues with Raisers Edge or associated programs; provide technical expertise; assess requests, effectively communicate database opportunities and limitations. Develop and maintain custom constituent reports, based on organizational needs.
  • Interact with donors in a professional and friendly manner and adhere to confidentiality of donor records.
  • Participate in and support PQI initiatives to include attending appropriate program leadership meetings and attending all relevant PQI meetings to ensure organization-wide involvement in PQI and the development of program performance measurements. Supervisors must also develop and provide appropriate staff training and support the recognition of accomplishments relative to PQI.
  • Promote ongoing commitment to excellence and continual quality improvement to ensure the highest quality of services to our staff and clients.
  • Performs other duties as assigned.
