Description:
We are seeking a highly organized, detail-oriented Administrator to join our team. The ideal candidate will play a pivotal role in ensuring the seamless operation of our office, particularly within a dental environment. This position requires expertise in managing communications, electronic medical records, and front desk responsibilities. As the first point of contact for patients and clients, the Administrator will provide exceptional customer service while maintaining efficient office operations and supporting the clinical team.
QUALIFICATIONS
- Experience: Previous administrative experience in a dental office is strongly preferred.
- EMR Systems: Familiarity with electronic medical records software (e.g., Dentrix, Abeldent) is highly desirable.
- Communication Skills: Excellent verbal and written communication abilities with a strong focus on delivering exceptional customer service.
- Organizational Skills: Proven ability to manage multiple tasks and prioritize effectively in a fast-paced, dynamic environment.
- Technical Proficiency: Comfort with office equipment (phone systems, fax machines, etc.) and administrative software applications.
- Detail-Oriented: Ability to maintain accuracy and attention to detail while managing high-volume tasks.
- Team Player: Collaborative mindset with the ability to work well with others to streamline operations and improve patient experiences.

Responsibilities:
- Manage Communications: Handle incoming and outgoing calls, emails, and messages, ensuring timely, professional responses to patient inquiries.
- Front Desk Operations: Greet patients and visitors with warmth, professionalism, and courtesy. Ensure an efficient check-in/check-out process and create a welcoming office atmosphere.
- Electronic Medical Records (EMR): Accurately manage and maintain patient records in compliance with privacy regulations, ensuring all information is up-to-date and securely stored.
- Appointment Scheduling: Coordinate and schedule patient appointments using software such as Abeldent.
- Administrative Support: Assist with office organization, ensure a clean and well-maintained workspace, and coordinate office activities to promote an efficient work environment.
- Insurance and Patient Processing: Accurately process patient information, insurance claims, and billing inquiries, ensuring smooth office operations and minimal delays.
- Team Collaboration: Work closely with dental professionals to improve administrative processes and enhance overall patient satisfaction.
