JOB SUMMARY:

A Project Coordinator is a key part of any campaign as they ensure that the projects are completed on time and within budget. The main responsibilities of a project coordinator include working with team members to create a realistic timeline, following up with team members to ensure everything is running smoothly, and tracking project progress in a variety of ways.

Responsibilities:

  • Assist the Senior Design Manager in developing new procedures and investigate existing procedures (such as: truss pricing, production, Management, etc.).
  • Examine drawings and related documents to verify their accuracy and correctness.
  • Generate records for new customers and input all relevant information into the Management system.
  • Supervise and update Lumber Price Lists, including manual compilations, as well as maintain Planswift materials and prices.
  • Process accepted lumber prices and schedule as required, while also creating new Planswift entries for all new quotes.
  • Investigate credit returns and identify the root cause.
  • Generate Credit Return reports by reviewing documents and credit summaries, including crafting tables and charts for swift analysis.
  • Compile and deliver weekly status reports outlining scheduling output metrics, including lead times for quotes, processing of change forms, and square footage of truss production.
  • Estimating EMH (Estimated Man Hours) for change forms for scheduling
  • Provide consistent and proactive support to team members by offering assistance whenever needed.
  • Complete manual budget quotes using Excel
  • Update lumber quotes using Sage and/or Excel
  • Serve as a bridge between sales representatives and the design team, ensuring that client feedback and concerns are acknowledged and integrated into the design process.
  • Field phone calls from sales representatives, when required.
  • Monitor and accept square foot truss approvals and create truss structure.
  • Communication with the designer, delivering the latest Planswift identification codes, enhancing project accuracy and efficiency.
  • Ensure alignment with project milestones by providing timely updates to design elements.
  • Compile and present detailed monthly efficiency reports for the design team, incorporating insightful performance metrics and analytics to update designer efficiency evaluations.
  • Monitor incoming change forms to ensure accuracy and completeness of information; communicate with sales personnel regarding technical aspects needing clarification.
  • Aid designers in optimizing task organization within our system.
  • Accountable for processing change forms received from sales representatives and/or customers, and identifying necessary plan alterations.
