POSITION SUMMARY

Like all HCF team members and volunteers, the Development and Gift Planning Officer exudes the heart and passion for HCF’s mission: to inspire generosity, advocate for equity, forge connections, and invest in community to create a better Hawai’i. The Development and Gift Planning Officer is an integral member of the Development and Donor Relations team with a primary focus on HCF’s 400+ Legacy Society donors. This position works collaboratively with the Donor Relations and Development team to solicit and support deferred and legacy gifts, assist in the planning and execution of events and webinars, and manage stewardship efforts to enhance and support the donors’ continued engagement with HCF’s mission.
Essential Position Responsibilities
Key responsibilities fall within primary areas of focus are as follows:

Legacy Donor & Gift Planning

  • Maintain and manage a portfolio of 400+ legacy donors, including updating and confirming donor’s charitable intent through their Memorandum of Understanding. ensuring personalized engagement and stewardship.
  • Serve as a key point of contact for Legacy Society members, ensuring personalized engagement and stewardship providing a positive donor experience.
  • Assist Sr. Director of Gift Planning and Advisor Relations with Professional Advisor (PA) events, newsletter and other tasks as needed.
  • Work with the Development and Donor Relations teams to design and assist in planning, organizing, and managing logistics and follow up for Legacy Society, donor, and planned giving events, webinars, or other marketing projects.
  • Use best practices and stay current with industry trends to deliver the best service for our donors.

Development & Fundraising

  • Apply the donor lifecycle moves management process to identify, qualify, and cultivate legacy donors to solicit current charitable gifts and funds.
  • Guide prospects and donors in articulating, implementing, and evaluating their philanthropic goals; this includes connecting donors to experts in community issues, planned gifts, grantmaking, impact investing, funder networks, etc.
  • Facilitate and secure gifts that align with the interests and motivations of donors and priorities of HCF.
  • Work with the Development and Donor Relations team and other HCF departments to maintain productive relationships with each donor through coordinated engagements, educational opportunities, networking, and events.
  • Serve as a personal advisor to an assigned portfolio of funds, providing best in class philanthropic advising, timely and accurate service, and fund administration.
  • Support the Sr. Director of Gift Planning and Advisors Relations, the development team and relationship leads to respond to gift planning and legacy donor inquiries and requests for information.

Fund Administration & Operations

  • Demonstrate proficiency in all aspects of the CRM database, including but not limited to data entry and report generation, with the ability to manipulate data and create reports and mailing lists, record all donation information, and maintain communication records with donors.
  • Document and maintain donor, client and influencer contact information to keep the Foundation client database accurate and current.
  • Maintain accurate and current fund records in HCF’s database including tracking and reporting donor engagement.
  • Ensure compliance with fund administration policies, donor stewardship procedures, and standards.
  • Provide general administrative support to the Development, Donor Relations and gift planning team.
  • Support the donor relations team in conducting ongoing review of donor portfolio to ensure donors at all levels are receiving effective, appropriate, and engaging stewardship.
  • Stay current in philanthropic trends and community issues and be knowledgeable in the full spectrum of initiatives of the Foundation.
  • Perform other tasks as assigned.

HCF Collaboration & Community Outreach

  • Build awareness and financial support for Hawaii Community Foundation Initiatives and priority programs, impact goals, and community needs.
  • Work collaboratively with the Donor Relations team to steward existing donors to administer, manage, and grow the donor’s fund and/or create a future fund or legacy gift.
  • Represents the Foundation at professional organizations, conferences, and other community events as required and appropriate.

Other Responsibilities

  • Serve as a knowledgeable and collaborative representative of HCF in the community
  • Partner collaboratively with other staff members to ensure effective outcomes.

POSITION REQUIREMENTS

HCF believes in ensuring that our team members are capable of thriving in their positions. Accordingly, the Development and Gift Planning Officer must possess the following knowledge, skills, abilities, experience, and education:

  • Bachelor’s degree preferred but not required.
  • Minimum 5 years of experience in related client service fields such as client relations, fundraising development, planned giving, financial planning, event planning, or marketing or donor relations.
  • Strong knowledge of the community including donors, professional advisors, leadership in public and private sectors and knowledge of the nonprofit sector.
  • Strong knowledge of the philanthropic sector and various giving vehicles.
  • Ability to maintain confidentiality of prospect and donor information, relationships, and gift size.
  • Self-motivated and results-oriented entrepreneurial spirit to envision charitable giving possibilities to affect positive community change.
  • Strong and demonstrable skill set in efficiently planning, organizing, coordinating, and directing multiple projects and activities with various deadlines simultaneously.
  • Capable of thriving in a highly collaborative, flexible and ever-changing organization.
  • Exceptional interpersonal skills including the ability to communicate effectively.
  • Ability to work collaboratively and communicate well.
  • Strong team approach to client service, engagement, and outreach.
  • Strong research, analytical, writing, and presentation skills.
  • Ability to perform work with attention to detail and accuracy.
  • Familiarity with database systems, including Blackbaud Raiser’s Edge NXT and/or Grantmaking applications, internet applications, etc.
  • Strong computer skills in Microsoft Word, Excel, Outlook, and PowerPoint.
