Responsibilities:

JOB PURPOSE:

The development coordinator manages the organization’s fundraising/donor database, including overseeing timely processing and acknowledgment of donor contributions, maintenance of donor records, accurate reporting and production of mailing lists, and updates portfolios consistently. This individual ensures all monetary donations, in-kind gifts, memorials, services, and products donated, are acknowledged, and appreciated in a timely manner. This position supports all administrative needs of the development department.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Database Management: Manages organization’s fundraising/donor database (Donor Perfect), including overseeing timely processing and acknowledgment of donor contributions, maintenance of donor records, accurate reporting, and production of mailing lists, follows and creates standard operating procedures as needed for Donor Perfect management, and runs all reports needed from the CRM system to support development department initiatives. Solves problems related to data management, including importing donations and donor records from other online software (Classy, PetPoint, etc.) used to collect donations.
  • Supports reconciliation of development and fundraising department totals with accounting department.
  • Processes online donations and mailed donations; generates in-kind, donor and memorial acknowledgement letters on a weekly basis, and coordinates special donor recognition efforts such as Board thank you letters, and Executive Director thank you letters.
  • Provides support to the department regarding direct mail programs, fundraising events, etc. to track donations and results.
  • Assists with developing concepts, writing, and proofing content for donor letters.
  • Assists with major donor prospecting research and identification.
  • Research potential grant sources, assist in creating grant proposals and track grant expenditures.
  • Provide support to the department for the Loyal Companions monthly giving club and Love Always Society.
  • Respond to all calls and emails received by the development department and exercise judgment in deciding to elevate issues from that correspondence to the management.
  • Other duties as assigned by department management.
