Description:

JOB SUMMARY

The School of Dentistry is seeking a Temporary Development Office Assistant to provide comprehensive support in Annual Giving and Stewardship, Major Gifts, Alumni & Development Events, and Office Administration. This position requires an individual with strong organizational and anticipatory skills, excellent interpersonal and written communication abilities, and proficiency in computer applications.

REQUIRED QUALIFICATIONS*

  • 1-2 years of related administrative support experience.
  • Strong anticipatory skills and ability to work independently and collaboratively.
  • Outstanding interpersonal and organizational skills, with high attention to detail.
  • Excellent written communication, computer proficiency (MS Office Suite), and ability to manage multiple tasks.
  • Demonstrated discretion with confidential information.
  • Excellent attendance record and guest/donor/customer service orientation.

DESIRED QUALIFICATIONS*

  • Experience leading and coordinating special events and programs.
  • Ability to manage event logistics such as hosting, catering, hotel bookings, room reservations, and speaker coordination.
  • The ideal candidate will demonstrate robust organizational abilities, effective communication skills, and a meticulous approach to managing varied administrative tasks and events. The role demands a proactive, self-guided, and team-oriented professional committed to supporting the School of Dentistry’s development initiatives.

Responsibilities:

Annual Giving and Stewardship Support: (35%)

  • Manage pledge reminders and share with Major Gift Officers (MGOs).
  • Manage annual giving solicitation calendar
  • Prepare annual giving solicitations
  • Work with student services team to maintain regular list of named scholarship recipients sharing with MGO team for personalized stewardship

Major Gifts Support: (35%)

  • Assist Development Generalist with MGOs’ DART data entry and portfolio management.
  • Conduct prospect research and prepare donor profiles.
  • Handle PCard backup preparation and submission for the MG team.
  • Manage game day requests in the DART database.

Alumni & Development Events Support:(20%)

  • Serve as the first point of contact for Development & Alumni Relations inquiries.
  • Assist with logistics of alumni and donor events and related engagements.
  • Update biographical records in DART.
  • Validate and update alumni business information.

Office Administration: (10%)

  • Prepare orders and maintain office supplies and tidy storage areas.
  • Prepare bi-weekly staff meeting agendas, minutes, and notices.
  • Assist in management of Omicron Kappa Upsilon, Chi Chapter Dental Honor Fraternity Association activities.
