Reporting to the Manager, Business Analysis, the incumbent is responsible for designing and facilitating team-based business process improvement initiatives focused on enhancing institutional efficiency, effectiveness and capacity while leveraging opportunities to save time, reduce workload, redirect resources, and enhance the overall quality of the student experience at Georgian College. The incumbent acts as an internal consultant and provides expertise in identifying the business needs of their clients and stakeholders, to determine solutions to business problems. The incumbent will work closely and in conjunction with IT in the selection and implementation of small and midsize innovative software applications and vendors across the college. The incumbent will be accountable for leading small to medium projects following defined project management methodologies. The incumbent responsible for supporting ServiceNow and other digital experience systems, including serve as a backup to support day-to-day functional system administration; research and test functionality; document procedures; ensure appropriate system set-up; develop, analyze and report systems data; liaise with local IT on technical support issues; troubleshoot and resolves systems problems ensuring mission critical deadlines are not compromised. Specific duties include, but are not limited to:

GENERAL SUPPORT FOR DIGITAL EXPERIENCE SYSTEMS:

  • Supporting the administration, maintenance, and ongoing data integrity of ServiceNow, Robotic Process Automation (RPA), Pebble Pad, DocuSign, Clear Point Solutions, and other digital experience systems.
  • Developing and maintaining procedural documentation for systems as operational changes are made.
  • Researching and evaluating new system modules, and software applications. This will include mapping of current processes/systems and gap analysis. Consulting with business areas and develop process maps and workflow to illustrate desired outcomes for progress. Using existing tools to document and improve process design within the department.
  • Gathers information required for analysis, reporting, dashboards, etc. once the process has been implemented and requires monitoring. Determines success factors and monitors for this.
  • Designing and delivering user training sessions for new users, module rollouts and related systems.
  • Responding to requests from the managers/staff for complex reporting needs. Gathering requirements and prioritizes incoming requests ensuring reports are developed with a ‘self-service’ format and deployed back to the requestor with documentation as appropriate.
  • Responsible for assessing, modelling, testing and implementing intelligent automation of processes using RPA tools. Ensures appropriate design and governance over process automation across all areas of the organization.
  • Acting as a continual service improvement specialist working with business areas to review existing processes and identify candidates for automation
  • Developing and configuring digital experience systems components, including process flows, control logic, environment configuration, exception handling, and integrations with various systems. Maintains a repository of reusable templates and workflows.
  • Functioning as a general technical resource to the college as required to support effective digital experience systems usage

QUALIFICATIONS:

  • Successfully completed a 2-year postsecondary diploma/degree in Business, Computer Studies or related field
  • A minimum of 5-years’ of related or progressive experience in a similar role
  • Must be designated in Process Improvement (Lean Management, 6 Sigma) or PMP (Project Management Professional)
  • ServiceNow Certified System Administrator (CSA) is an asset
  • Experience in facilitating, developing and implementing business process redesign projects, specifically in business process mapping, analysis and design.
  • Experience in project management and group facilitation.
  • Experience in applying change management strategies in large, complex organizations.
  • Must be able to prepare written materials to communicate concepts, plans and results to various audiences. Written materials would include: proposals, briefings, reports, newsletters, articles and bulletins.
  • Well-versed with software development life-cycle and development practices, technical aspects of RPA development.
  • Excellent and effective verbal, interpersonal and written communication skill
  • Ability to troubleshoot and resolve system issues with a high degree of focus on customer service.
  • Experience in relationship building and team leadership.
