Description:
JOB SUMMARY
This role is part of a key liaison team for DIO business areas covering most of the South East and West of the Region. The main duties of the post will be the provision of administrative services, including, but not limited to:
Management of the car fleet e.g booking of pool and hire cars, performing relevant checks on drivers, taking for services, vehicle safety checks and basic pool car maintenance, such as tyre pressure and car charging etc, Personal Protective Equipment and Stationery procurement and distribution; maintenance of adhoc Local Security Officer issues, i.e device logins and bitlockers. Good interpersonal skills are pivotal in promoting good working relationships both within the team and other teams across DIO and MoD.
This position is advertised at 37 hours per week.
JOB DESCRIPTION
- Aid in management of pool car fleet, some remotely, in line with Defence transport management expectations
- Processing rental and hire car requests on behalf of colleagues – ensuring all back-office admin has been completed in compliance with JSP 800
- Liaison with the standard change team and customers to ensure Management of Office Equipment (Printers, Laptops, Skype Speakers, Projectors, Laminators etc.)
- Coordination of the stationery and Personal Protective Equipment (PPE) required for all personnel based located at Andover and sub sites within our Area of Responsibility.
- Processing payments for equipment including PPE via our financial systems.
- Coordinate daily post room runs, to ensure all parcels/letters are provided to colleagues in a timely manner.
- General building services management: fault reporting and monitoring, and office/floor plate planning in a ‘hot desking’ community, to meet business and health and safety requirements.
- Complete weekly building fire alarm tests (call point checks) and building safety walks to ensure compliance with site safety regulations.
