Description:

WHAT WILL THIS JOB ENTAIL?

Core responsibilities of the position include the following. Other duties may be assigned.

  • Provide leadership and management to Ayuda’s grant and contract portfolio (approximately $8M - $10M annually) for program and general support.
  • Provide leadership and technical expertise to ensure that efficient, high-quality grant and contract seeking and grant and contract management processes are incorporated throughout Ayuda.
  • This position leads coordination and collaborates with Program, Finance and Operations staff across all Ayuda offices and coordinates with Development staff on certain foundation grants.

Strategy and Planning

  • Develop and execute an annual grant and contract seeking plan in partnership with the Executive Director and Program Directors.
  • Build strong relationships for Ayuda with key government entities and certain foundations in partnership with Program staff, Development staff and the Executive Director.
  • Develop and implement strategies for securing grant and contract funds in partnership with stakeholders.
  • Lead Ayuda’s strategy and efforts to meet grant revenue targets.

Proposal Development

  • Monitor and assess new government grant and contract opportunities for potential fit.
  • Communicate viable funding opportunities with relevant stakeholders.
  • Create and execute proposal plans through coordinating Finance and Program staff.
  • Ensure the Grants Team is developing and writing highly competitive grant and contract proposals to government agencies, and support other Ayuda team members with proposal development.
  • Ensure that grant and contract application attachments and organizational information for applications are complete and consistent.
  • Coordinate with Development to support proposal development for certain foundation grants.

Grant Administration

  • Identify and develop strategies to optimize Ayuda’s grant and contract administration process.
  • Ensure compliance with grant agreement and contract conditions through developing and changing policies and procedures in partnership with Director, HR & Operations.
  • Convene grant and contract kick-off meetings after a new grant is awarded so Program and Finance teams are equipped to meet programmatic and financial reporting deliverables.
  • Ensure that Ayuda is saving necessary grant and contract application and grant and contract reporting documents on SharePoint
  • Ensure the accuracy of Ayuda’s grant database and that the grants calendar including reports, proposals, and renewal deadlines are up to date and communicated out on a regular basis

Site Visits

  • Coordinate funder site visits and prepare Program and Finance staff for visits.
  • Lead site visits with certain foundations.

Finance and Budgeting

  • Ensure collaboration with Ayuda’s Finance team and Program teams on grant budget preparation, budget narratives, and grant budget adjustments through leading monthly and additional meetings as necessary.
  • Monitor grant income and grant expenses in partnership with Program and Finance staff.
  • Develop the annual budget for the Grants Team.

Knowledge Building

  • Maintain general knowledge of Ayuda’s programs (including new programs and changing programs) and organizational resource needs.
  • Maintain and build knowledge of government and foundation funders and communicate this with stakeholders.
  • Provide training and increase knowledge about grants with internal stakeholders.
  • Provide reports and information to Ayuda’s staff and board of directors on Ayuda’s grant and contract seeking, grant and contract management efforts, and grant and contract revenue received.

Other

  • Serve as a member of the senior management team.
  • Supervise the Grants Manager, a team of Grant Writer(s) and a Grant Coordinator.

Requirements:

HOW DO YOU KNOW IF YOU CAN DO THIS JOB?

Eligibility: Must be legally able to work in the United States and maintain proper work authorization throughout employment. Must be able to meet the physical requirements of the position presented in a general office environment.

Education/Experience:

  • 5+ experience with government grants and contracts in the nonprofit sector.
  • 5+ years of grant writing experience.
  • Experience securing new and renewal government (federal government funding for serving crime victims preferred) and foundation grants.
  • Experience creating an annual plan to secure grant revenue and creating plans throughout the year in response to changes from funders.
  • Experience hosting and leading meetings with government and foundation supporters.
  • Experience with creating plans and securing funding for new and changing programs.
  • Experience with problem solving and creating solutions when challenges related to grants arise.
  • Experience mentoring and coaching others on grant writing and grant management.
  • Experience supervising staff members and organizing team roles and responsibilities.

Technological Skills:
High level of proficiency with Excel, databases, and online project management tools.

Required Knowledge and Skills:

  • Ability to build strong knowledge and expertise on programmatic and organizational work which is necessary to successfully secure funding.
  • Ability to provide advice and knowledge to Program Directors and the Executive Director on managing and securing grants.
  • Knowledge about grant budgeting and nonprofit organizational budgeting so can partner effectively with the Finance department on to ensure grant budgets and budget narratives increase competitiveness for funding.
  • Deep commitment to the mission and work of Ayuda.
  • Demonstrated ability to write and submit clear, structured, persuasive grant proposals that are competitive at the regional, state and national level.
  • Strong verbal communication skills.
