THE POSITION

We are seeking a highly organized and customer-focused Service Dispatcher/Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our service department by scheduling appointments, dispatching technicians, and providing exceptional customer support.

Requirements

  • Previous experience in dispatch or scheduling in the HVAC or service industry is a plus.
  • Strong organizational and problem-solving skills.
  • Excellent communication and customer service abilities.
  • Familiarity with HVAC equipment and systems is a bonus.
  • Ability to work under pressure and meet tight deadlines.
  • Strong attention to detail and multitasking capabilities.
  • Excellent written and verbal communication skills
  • Proficient in office software (Word, Excel, Google Drive, etc.)
  • Must be able to lift 20lbs and stand for long periods of tim

Responsibilities:

  • Receive and prioritize service requests from clients, providing exceptional customer service.
  • Efficiently schedule HVAC service appointments for field technicians based on location, skills, and urgency.
  • Maintain open communication with field technicians to monitor job progress and provide support when needed.
  • Monitor and update the status of work orders and dispatch information in real-time.
  • Ensure timely arrival and completion of service calls while optimizing technician routes.
  • Maintain accurate records of service requests, dispatch logs, and customer information.
  • Prepare and deliver reports on dispatch performance and service response times.
  • Assist in data analysis to identify trends and opportunities for process improvement.
  • Act as a point of contact between clients and field technicians to relay information and updates.
  • Maintain effective communication channels with team members, providing technical support as needed.
