Description:
Growing family-owned refrigerated van dealership is seeking an experienced Title Clerk / F&I Assistant to lead their administrative functions. This person will have the title of Office Manager and will work with customers post-sale to complete all DMV paperwork and Finance paperwork. This company has been in business for 10 years and is opening their second location and is excited to grow their operations and build a new long-term team as their first location is very stable. The successful candidate is a highly organized and detail-oriented Title Clerk / Finance Assistant at a dealership. This person will be responsible for preparing, processing, and managing all tax and title documentation, ensuring accuracy, and maintaining compliance with state and local regulations. The role involves handling legal transfers, verifying data, and communicating with customers, finance institutions, and government agencies. This position will report directly to the Owner.
QUALIFICATIONS:
- Must have 3+ years experience in DMV paperwork, title and registration processing.
- Strong attention to detail and accuracy in documentation.
- Excellent organizational and multi-tasking skills.
- Clear handwriting
- Proficient in using office equipment and software (fax, email, scanning, etc.).
- Strong communication skills for interaction with customers, finance institutions, and DMV
Work Environment:
- Professional office setting with a focus on maintaining a neat and organized work area.
- This person will work predominately independently and will be a keyholder
- Regular interaction with DMV, customers, and finance institutions.

Responsibilities:
- Document Preparation: Prepare tax and title documents, ensuring all necessary paperwork is completed accurately and efficiently.
- Title Processing: Handle the legal transfer of documents for the Department of Motor Vehicles (DMV). Process all vehicle sales for registration in the state where they will be titled.
- DMV and Finance Liaison: Package documents and process paperwork for the DMV and finance institutions. Submit paperwork to finance sources and obtain approvals on all finance deals.
- Customer Service: Answer customers’ questions regarding sales transactions and assist with any inquiries related to title and registration.
- Verification and Compliance: Verify accuracy of all documentation, ensure all required documents are obtained and submitted, and stay updated on State/County DMV title processing regulations.
- Record Management: Maintain a system to verify out-of-state titles, report missing or problematic titles to management, and manage document retention through scanning, photocopying, and filing.
- Insurance Verification: Verify insurance details with customers’ agents and ensure compliance with state regulations.
- Office Duties: Perform general office duties including preparing reports, keeping files up-to-date, and managing correspondence via fax, email, and mail.
- Multi-tasking and Prioritization: Manage multiple tasks in a deadline-oriented environment while maintaining a high level of organization and attention to detail.
- Professional Conduct: Maintain a professional appearance and a neat work area. Adhere to a consistent and reliable work schedule.
- Other Duties: Perform other related duties as assigned by management.
