Job Summary
Our TYLin Bridge team in Canada is seeking a dedicated and detail-oriented Document Control Specialist to join us in working on various major infrastructure projects. In this role, you will play a crucial part in ensuring that our document control standards are maintained in compliance with the client’s expectations and contract specifications and highest standard in the industry. The position is associated with our Vancouver office, but offers the flexibility to work in a hybrid.
Responsibilities & Qualifications
- Maintain document management systems for project phases.
- Ensure timely and accurate distribution of project records.
- Maintain logs and records of formal transmissions.
- Ensure documents are accurate, signed, stored, and backed up.
- File project documents within systems and databases.
- Check document quality and accuracy with respect to contract requirements.
- Create and issue transmittals and submittals to project stakeholders.
- Train and support project staff on document control procedures and systems.
- Provide support in document retrieval and workflow processing for the Owner and end users.
- Assist during contract closeout, ensuring the Owner receives a complete copy of the System.
- Record and prepare draft minutes for weekly progress meetings.
- Prepare draft meeting agendas.
Qualifications
- Bachelor’s degree in Business Administration, Engineering, Management, or a related field preferred.
- Minimum 5 years of experience in document controls, preferably on large transportation projects.
- Proficiency in the use of document control software or platforms such as SharePoint, Aconex, Procore, and ProjectWise is required.
- Client-focused, always striving to provide the best solutions.
- Excellent organizational and communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
- Bi-lingual in French and English preferred.
