REQUIREMENTS:
- Education: Diploma or Bachelor’s degree in Business Administration, Construction Management, or a related field.
- Experience: 3+ years of experience as a Document Controller in the construction industry.
- Technical Skills:
- Proficiency in document management software and MS Office Suite (Word, Excel, Outlook).
- Knowledge of construction processes, terminologies, and document types.
- Key Competencies:
- Strong attention to detail and organisational skills.
- Excellent communication and interpersonal skills.
- Ability to prioritise and handle multiple tasks under tight deadlines.
- Familiarity with ISO standards and document control procedures.

Responsibilities:
ROLE SUMMARY:
The Document Controller will be responsible for maintaining and managing the organisation’s documentation system to ensure accurate, efficient, and secure handling of project documents in line with the company’s quality standards. The role is pivotal in supporting the project team by ensuring proper storage, retrieval, and distribution of critical documentation throughout the construction lifecycle.
KEY RESPONSIBILITIES:
- Document Management:
- Establish and maintain a robust document control system to manage project documents, drawings, contracts, and correspondence.
- Ensure all project-related documents are properly indexed, filed, and archived for easy accessibility.
- Maintain document numbering systems and ensure adherence to company standards.
- Control and Distribution:
- Review and distribute documents to internal and external stakeholders as per project requirements.
- Track and update document versions, revisions, and status to avoid discrepancies.
- Coordinate with engineers, contractors, and consultants for document submissions and approvals.
- Compliance and Standards:
- Ensure documents comply with regulatory requirements, company standards, and client specifications.
- Implement quality control checks to ensure the accuracy and completeness of documents.
- Database and Software Management:
- Use document management software (e.g., Aconex, Procore, or similar) to manage project documentation.
- Regularly update the document control register and produce status reports for management review.
- Support and Communication:
- Assist project teams with retrieving and submitting documents during audits and inspections.
- Communicate with contractors and vendors to ensure timely receipt and submission of required documents.
- Train team members on document control policies and procedures.
- Archiving and Close-Out:
- Organise and archive project documents for handover or project close-out, ensuring compliance with contractual and legal requirements.
