Description:
The Role
We are seeking a motivated and detail-oriented Document Controller and Office Administrator to join our dynamic team in Dubai. This role is integral to our operations within the development industry, ensuring that all documentation is accurately managed and maintained while supporting the administrative functions of the office. The ideal candidate will possess exceptional organizational skills, a proactive approach to problem-solving, and the ability to thrive in a fast-paced environment. Responsibilities: - Manage and maintain all project documentation, including contracts, plans, specifications, and correspondence, ensuring they are up-to-date and easily accessible. - Maintain a robust document control system to track the flow of documents and ensure compliance with company standards. - Coordinate the distribution of project documents and ensuring timely delivery and receipt of information. - Oversee the filing and archiving of documents, both physical and electronic, in accordance with company policies and project requirements. - Assist in the preparation of reports, presentations, and other documentation as needed for internal and external stakeholders. - Support the administrative functions of the office, including but not limited to scheduling meetings and managing calendars. - Maintaining office stationery and pantry supplies stock. - Act as the main point of contact for document-related inquiries from team members and external partners. - Conduct regular audits of documents to ensure accuracy and completeness, identifying and resolving discrepancies. - Maintain project progress and document updates, ensuring alignment with project timelines. - Coordinating with the manager for all the project related approvals. - Informing and coordinating with Vendors and Subcontractors once the payment cheques are ready for dispersal. - Managing Cheque payments dispersal against payment receipts and further documented. - Responsible for maintaining accurate records of all documents, including tracking revisions, ensuring proper version control and maintaining an audit trail of document history. - Responsible for organizing and maintaining document storage, both physical and electronic, to ensure easy retrieval and access to relevant documentation as needed. - Managing the samples received from contractors and subcontractors. - Promptly answering incoming company calls. - Safekeeping, scanning and storing of all company documentations. - Perform routine or adhoc administration tasks as required.
Requirements
- Bachelor’s degree in Business Administration, Project Management, or a related field. - Proven minimum 3 years’ experience as a Document Controller or Office Administrator within the development or construction industry. - Strong knowledge of document management systems and best practices in document control. - Excellent organizational skills with a keen attention to detail and accuracy. - Ability to manage multiple tasks and projects simultaneously while meeting tight deadlines. - Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and project management software. - Strong communication skills, both verbal and written, with the ability to interact professionally with all levels of staff and external partners. - Problem-solving mindset with the ability to anticipate challenges and propose effective solutions. - Fluency in English is required; proficiency in Arabic is a plus. - A proactive team player with a positive attitude and a commitment to continuous improvement.
