Description:

Birdon Pty Ltd is proudly an Australian owned global company, providing whole of life solutions to multinational defence, government, maritime energy, and resource sectors. With continual growth and diversification, we are currently seeking for a Document Controller to join our Defence business unit in Bibra Lake.
You will report to the Project Controls Manager, you will be responsible for overseeing and guiding the data management strategy and data operations within the project by using a deep understanding of data governance, data quality, and data architecture.

KEY ACCOUNTABILITIES:

Most key accountabilities for this role will be undertaken under the direction of Project Managers.

These accountabilities include:

  • Key accountability 1: Alignment of document control policies and procedures for use across Project and Technical information and registers, including working with all project performance register owners to ensure quality and consistency in controls within Projects.
  • Key accountability 2: Ownership and maintenance of Drawing registers, Action registers, Document registers, Engineering registers, Procurement registers etc.
  • Key Accountability 3: Report data gathering and authoring for multiple project reports, as required and Document Quality Assurance (QA) and Quality Control (QC) checking to ensure document format is to project standards.
  • Key Accountability 4: Under direction from Project Managers, create power point presentations and other meeting materials.
  • Key Accountability 5: Under direction from Project Managers, coordinate key internal and external stakeholders to enable clear lines of communication.
  • Key Accountability 6: Development of all external and internal correspondence including commercial letters and formal reports
  • Key Accountability 7: Collating all certifications and documentation for the vessels including AMSA, Class and certifying bodies.
  • Key Accountability 8: Provide new starter and refresher training to the project team ensuring document control processes are followed and understood.

Responsibilities:

  • Align document control policies and procedures for use across Project and Technical registers, including working with all project performance register owners to ensure quality and consistency in controls within Projects.
  • Ownership and maintenance of Drawing registers, Action registers, Document registers, Engineering registers, Procurement registers etc.
  • Work closely with the project team to ensure that information and data is effectively managed and secured.
  • Weekly and monthly report writing
  • Supervision of all document control administrative tasks associated with multiple projects.
  • Engagement with internal and external stakeholders in establishing clear lines of communication and meetings.
  • Development of all external and internal correspondence including commercial letters and formal reports
  • Collating all certifications and documentation for the vessels including AMSA, Class and certifying bodies.
