Description:

QUALIFICATIONS

  • High school diploma or equivalent
  • 1-2 years of experience in admin related jobs, preferably Maintenance department
  • Proficiency in document management
  • Strong organizational skills with attention to detail
  • Written and verbal communication skills.
  • Ability to work independently and handle multiple tasks simultaneously.
  • Basic knowledge of maintenance operations and procedures is a plus.
    Job Type: Full-time
    Pay: AED2,000.00 - AED3,000.00 per mont

Responsibilities:

  • Maintain and update maintenance-related documentation (e.g., work orders, service reports, drawings, manuals, etc.).
  • Track and manage the approval process of documents and ensure all necessary signatures or approvals are obtained.
  • Monitor and maintain records of incoming and outgoing documents, ensuring they are processed promptly.
  • Provide general administrative support to the maintenance department, including managing correspondence, filing, and preparing reports.
  • Handle scheduling and coordination of maintenance activities, including work orders, preventive maintenance schedules, and repairs.
  • Prepare and process purchase orders, requisitions, and invoices for maintenance-related supplies and services.
  • Act as the point of contact between maintenance personnel, vendors, contractors, mall management personnel and other internal departments.
  • Coordinate with internal teams to ensure maintenance activities are scheduled and executed without disruption to regular operations.
  • Ensure effective communication of maintenance schedules, issues, and status updates to relevant stakeholders.
  • Assist in preparing regular reports for the maintenance department, highlighting performance metrics, pending issues, and maintenance progress.

Manage the vendor documents for all supplier and AMC vendors

  • Manage scheduling for AMC services on a timely manner
  • Assist with scheduling meetings, training sessions, and other departmental activities as needed.
  • Handle phone calls, emails, and other communications in a timely and professional manner.
