Description:

NSB Omega is searching for a Document Controller for our LARGE Utilities Client in St. John’s, NL

ASSIGNMENT DESCRIPTION

Working with an Owner’s team, the Document Controller is responsible for providing document control functions for large engineering projects. The incumbent will liaise with the department, project teams, support staff, and the information management team to ensure their full awareness of the project requirements. The ideal candidate will have the experience and education to perform the duties and job functions associated with this position, which include, but are not limited to, the following:

  • Implement the Information Management plan, procedures, and work instructions with an emphasis on following document control procedures and provide input, when requested;
  • Maintain the structural framework for content organization (revision-controlled documents and administrative records) within the Electronic Document Management System (“EDMS”);
  • Provide feedback on the use of EDMS tools, folder creation within EDMS, perform regular quality checks in EDMS as directed, and provide assistance where required on available reports in EDMS;
  • Liaising with department and project teams to ensure proper document control procedures are implemented;
  • Perform and coordinate the process activities associated with the day-to-day processing and managing of revision-controlled and administrative documents (i.e., copy, distribute, numbering, coding, filling requests, registration, tracking, system inputs, hard-copy filing, etc.);
  • Provide information searches for revision-controlled and administrative documentation;
  • Run reports to provide statistical and general documentation information;
  • Interfacing with internal/external submitters of documentation;
  • Check the quality of electronic/hard copy documentation;
  • Scan, register, upload, and transmit As-Built documents;
  • Create document registers and discrepancy logs of Turnover Documents;
  • Proactive support of a safety culture where “Nobody Gets Hurt;” an
  • Other IM-related duties, as required.

QUALIFICATIONS:

  • Post-Secondary diploma in Information Management or equivalent combination of training and experience;
  • Five years of document control experience in an engineering environment, filling a similar role on large capital projects with a focus on electric utility infrastructure and construction;
  • Strong background in the application of EDMS;
  • Proficiency with MS Office Suite, especially SharePoint;
  • Ability to guide personnel in the utilization of document control processes and procedures;
  • Ability to work in a fast-paced environment, under pressure and with aggressive timelines; and
  • Excellent written and verbal communication skills
