Essential Job Functions
- The Document Services team is seeking an experienced Coordinator to oversee the intake and delegation of work requests within the Document Services Department. This position requires the exercise of strong critical thinking and decision-making skills, along with sound judgment and follow-through. Individual must be detail-oriented and dependable, and possess exceptional written and verbal communication and customer service skills, as well as the technical acumen to assist with work requests when necessary.
- The schedule for this hybrid position is Monday through Friday from 2 pm - 10 pm (Eastern Time). Flexibility to work overtime on an as needed basis.
EDUCATION, WORK EXPERIENCE, SKILLS
- A college degree or business certification is preferred; equivalent work experience will be considered.
- The qualified candidate will have 3+ years of prior coordinating or supervisory experience in a legal or financial services organization.
Responsibilities:
- Responsible for the intake and assignment of work requests, including thorough assessment of initial requests and determination of the technical skills needed to achieve completion within the desired time frame
- Communicate with staff and attorneys to ensure the work product is delivered timely and accurately
- Monitor staff productivity, work product, and technical abilities and keep management appraised regarding staff training needs as well as identifying areas where coaching or counseling may be needed
- Assist with the onboarding and training of new hires, including: analyzing, drafting and modifying training modules; holding training sessions; reviewing practice documents; providing feedback; and monitoring performance and tracking training progress
- Field troubleshooting calls and assist with technical software troubleshooting
- Liaise with other departments to ensure completion of work requests
- Technical proficiency to perform the following tasks:
- Expertly revise, format, compare and cross-reference documents, including complex UK documents
- Convert documents from various formats to Word, Excel, PowerPoint, and Visio, while adhering to the Firm’s standards
- Generate and update/revise Tables of Authorities
- Convert and reformat SEC documents, including financial tables, according to the Firm’s standards
- Execute defined terms checks and reformat documents utilizing the Firm’s standards and tools
- Modify, compile, and redact PDFs; create forms, e-closing binders and bookmarks in Adobe Acrobat
- Create, revise, and reformat PowerPoint presentations, maintaining Firm branding standards
- Create and modify organizational charts, flowcharts and timelines in Visio and PowerPoint
