PROFILE

We are currently seeking an experienced full time Document Specialist to join our afternoon/evening Document Support team. The successful candidate will be responsible for providing effective document processing support services between the hours of 5:00 pm to 1:00 am (Monday to Friday), with flexibility to change shift, as needed, to meet business needs. Please note that this role is currently 100% remote.

QUALIFICATIONS

  • At least 5 years of experience as a legal administrative assistant or Document Specialist.
  • Experience in a professional services environment would be preferred.
  • An enthusiastic attitude and a passion for providing excellent client service.
  • Excellent oral and written communication skills, including a strong knowledge of grammar and exceptional spelling and proofreading abilities.
  • Capacity to work independently, as well as in a team environment/
  • Superior proficiency with the Microsoft Office Suite including Word, Excel, PowerPoint, Outlook, Teams, Adobe Acrobat Pro DC and Kofax Power PDF Advanced.
  • Strong aptitude to learning and using new software.
  • Experience working in several areas of law (Business Law, Corporate Securities, Litigation, Real Estate, Construction).
  • Ability to take instructions, prioritize incoming work, follow through on assignments, producing a high quality work product.
  • Highly organized, critical thinker and team player with the ability to work under pressure, deal with changing priorities and meet strict deadlines.
  • Flexibility to work overtime or change shifts to meet business needs, on an as-needed basis.

Responsibilities:

Responsibilities include:

  • Creating, revising and transcribing various legal documents, including agreements, prospectuses, information circulars, statements of claim, memos and letters.
  • Assisting with advanced document processing tasks such as mail merges, presentations, org charts, tables, graphs and Excel spreadsheets.
  • Assisting with document conversions and troubleshooting complex document processing issues, liaising with our Information Technology support team, as necessary.
  • Liaising with and providing exceptional client service to professionals, staff and HR/DPG departments from all offices, on a regular basis, to ensure that the job gets completed.
  • Ensuring document formats are in compliance with firm standards and precedents.
  • Other duties, as required.
