Description:

    This position provides a high level of administrative and strategic support to the First Assistant Secretary and other senior leaders within the Policy Division.
    The Executive Officer will support the effective operation of Policy Division and is required to work closely with Assistant Secretaries, members of the Executive and Senior Leadership Group and departmental staff to generate, coordinate and prioritise competing tasks with limited timeframes. The Executive Officer requires an ability to think strategically, develop productive working relationships across the Divisions, the Department and with external stakeholders, have a client focused approach, high attention to detail and an ability to operate in a fast-paced environment.

Responsibilities:

  • Action and/or delegate the Policy Division correspondence to ensure timely and effective business operations
  • Provide strategic advice to the First Assistant Secretary, Policy Division and other senior leaders on matters relating to the broader group and clients
  • Coordinate and/or prepare complex and/or sensitive correspondence, corporate documentation, submissions, speeches, talking points, briefing papers, meeting packs and other strategic communication and correspondence
  • Work closely and collaboratively with the Division Executive Officers and Executive Assistant to the First Assistant Secretary to ensure priority matters are actioned appropriately
  • Establish and maintain productive working relationships with and provide a high level of service to:
  • members of the Senior Executive and their Executive Support teams
  • the Office of the Minister for Veterans’ Affairs
  • staff at all levels across the department
  • senior officers in external agencies and organisations
  • Liaise with senior internal and external stakeholders in relation to complex or sensitive matters
  • Maintain an in-depth knowledge of the work programmes across the group
  • Undertake work activities with an awareness of their possible impact on strategic or operational outcomes for the group
  • Interpret policy and provide advice to Policy Division regarding the application of practices and procedures
  • Undertake complex research and analysis related to Division’s areas of responsibility
  • Represent the department at inter-departmental meetings and at conferences and seminars
  • Act as the principal point of contact on issues as required
  • Adhere to the APS Values and Code of Conduct
  • Demonstrate capability in line with the department’s Capability Development Framework and Work Level Standards at the EL1 level
  • Perform other tasks as required
