Description:

REQUIREMENTS:

  • Strong organizational skills with the ability to manage time effectively,
  • Excellent communication skills, both written and verbal, with the ability to interact professionally with a wide range of people, including employees, managers, executives, business partners, and subject matter experts from various backgrounds,
  • The ability to ask the right questions to clarify issues, attempt resolutions, and escalate when necessary,
  • Capable of working independently, showing initiative, and following through on assigned tasks,
  • A strong sense of responsibility, confidentiality, and professionalism in handling sensitive matters,
  • Proficient in IT, with the ability to utilize various tools (e.g., knowledge management, document management, HR systems) to gather the information needed to resolve issues,
  • Proficiency in English and German (at least intermediate level) is required
  • Previous experience as an HR administrative assistant is preferred

Responsibilities:

  • Address inquiries using available knowledge base resources (e.g., FAQs, job aids, policy documents) within the agreed service levels defined in the Service Level Agreement (SLA),
  • Regularly update employees and partners on the status of their requests, ensuring communication is maintained until the issue is resolved,
  • Proactively follow up on unresolved items and gather feedback from employees and partners regarding the resolution,
  • Assist and guide users of the HR Shared Service Centre in navigating self-help materials and system functionalities when support is needed,
  • Take ownership of cases, ensuring accurate and timely updates on resolutions in the case management system,
  • Escalate complex queries to higher levels of support or relevant subject matter experts as necessary,
  • Help identify gaps in the existing knowledge base and suggest improvements to enhance the available documentation,
