REQUIREMENTS
- Exemplary customer relation skills with a professional approach
- Self-motivated team player comfortable in a highly technical, creative environment
- Ability to multi-task and handle a heavy volume workload accurately and in a timely manner
- High school diploma
- Completion of post secondary office administration program or equivalent experience.
- Minimum of three years of previous office experience.
- Intermediate level of MS Office
Responsibilities:
- Perform administrative and secretarial duties as required by daily operations in the Engineering office such as scanning, filing, preparing business documentation, etc.
- Maintain Engineering Project, Repair and RES filing systems (Laserfiche and hard copy), updating and reorganizing files when necessary
- Coordinate office activities and schedules to ensure smooth office operations
- Prepare documents, spreadsheets, and tracking procedures as necessary
- Receive and distribute incoming mail; send and track courier packages
- Assist in travel arrangements for the Department’s staff; maintain away-from-office schedules and calendars for the department, prepare expense reports, and timesheet reconciliation
- Assist in scheduling and tracking department training; help maintain confidential personnel files and records
- Process and file department invoices / billing
- Maintaining Department supplies for the staff and office equipment
- Transport Canada Liaison
- Office services co-ordination
- Assist in preparing for audits
- Creation and Tracking of MCO and related functions within M3
- Setup PO’s
- Setup of MCO’s
- Setup of WO’s/Operations
- Initiate invoices and payments for engineering projects
- Working directly with accounting, billing and purchasing
