SUMMARY:
The Ponca Tribe of Nebraska is a federally recognized Tribe with its ancestral homeland located in Niobrara, NE. The Tribe does not have a reservation in the classic definition; rather, the Ponca Restoration Act defined its jurisdiction as a ‘Service Delivery Area’ comprised of 15 counties throughout parts of Nebraska, Iowa, and South Dakota. Within its Service Delivery Area, the Tribe offers a broad range of health, social, educational, and cultural services.
This individual will primarily be responsible to assist the Enrollment Manager in creating, maintaining and modifying a database and keep an accurate filing system pertaining to Tribal enrollment, Tribal elections, Tribal archives, and Tribal history and maintain a tracking system of all correspondence. The incumbent will also collect and process enrollment data from potential applicants for Tribal membership, assisting internal and external entities with information requests in compliance with established policy, and answer telephone from both internal and external consumers.
Essential Responsibilities and Duties:
- Communicate effectively and diplomatically with the election and enrollment committee members, council members, Tribal members and various individuals and organizations (Tribal, state, federal), and internal departments of the Ponca Tribe.
- Assist in preparing all enrollment applications to be approved by the Enrollment Committee and Tribal Council.
- Assist in creating, maintaining and modifying an accurate and current filing system and enrollment database.
- Audit member files and scan vital documents into database as needed.
- Review and complete documents and inventories, respond to all correspondence.
- Familiarize with policy and procedure of the Enrollment Department and the Ponca Tribe as an employee.
- Research and assist Tribal members with Ponca history and family trees.
- Assist in running statistical queries for age, sex, address, service areas, etc. for PTN departments, committees, entities, and tribal officials as requested.
- Must attend trainings when identified.
- Provide enrollment outreach at tribal events or office site visits.
- Process Tribal member ID cards.
- Assist in the maintenance of accurate Tribal archive material.
- Maintain confidentiality and impartiality.
- Other duties as assigned.
