Description:

We are looking for an experienced, motivated and technically skilled Estimating & Production Specialist to join our team. You will be responsible for managing all aspects of project estimating, client communications, procurement, production coordination, and quality control. This role plays a key part in ensuring that projects are accurately priced, approved, and executed according to client specifications, timelines, and budgets. The successful candidate will work closely with the project team, vendors, and clients to deliver high-quality products while maintaining efficient workflow across all stages of production.

Job Duties

Estimating and Pricing:

  • Provide accurate and timely estimates within 24 hours for residential projects and 48 hours for commercial projects.
  • Document estimates in QuickBooks (QB) and maintain updated pricing spreadsheets.
  • Follow up with clients via email to confirm estimates and adjust as needed.
  • Collect pricing from third-party vendors (metal, wood, fabric, leather, etc.) to support estimates.
  • Update pricing based on cost analysis and margin considerations.
  • Create and implement automated estimating processes using AI tools and resources

Client Approvals:

  • Work with clients to confirm approvals for estimates, ensuring that Purchase Orders (POs) align with approved estimates.
  • Update work orders and ensure all relevant documents are accurate and ready for production.
  • Ensure timely invoicing by notifying when projects are completed and ready for billing.

Procurement and Inventory Management:

  • Order materials and items required for production, including fabrics, leathers, and other supplies.
  • Maintain inventory counts and allocate inventory appropriately using the project costing spreadsheet.
  • Contact suppliers to get updated pricing and manage inventory levels for project needs.

Production Coordination:

  • Serve as the point of contact for clients and internal teams regarding production-related questions or concerns.
  • Create production schedules and assist in organizing the team’s tasks (carpentry, upholstery, sewing, etc.).
  • Oversee deliveries, installs, and site measures, ensuring seamless coordination and client satisfaction.
  • Monitor project timelines, identifying any delays or issues that need resolution.
  • Manage Sit Tests, including scheduling, setup, and follow-up communication with clients.

Quality Control:

  • Conduct quality control checks to ensure all projects meet company standards and client expectations.
  • Document and report any issues with materials or workmanship, taking photos for client reference when necessary.
  • Lead and manage the implementation of Enterprise Resource Planning (ERP) systems, ensuring alignment with organizational goals and business processes.
  • Oversee the ongoing maintenance, updates, and optimization of ERP systems to ensure efficiency and effectiveness.
  • Collaborate with cross-functional teams to identify and address system needs, customizations, and integrations.
  • Provide training and support to users, ensuring smooth adoption and usage of ERP tools

KPI and Performance Tracking:

  • Assist in tracking key performance indicators (KPIs) related to project completion, cost, and quality.
  • Review and record project progress, ensuring that timelines are maintained and costs are aligned with estimates.

Miscellaneous Tasks:

  • Enterprise Resource Planning (ERP) implementation
  • Provide input with social media and email content as needed.
  • Review estimates prepared by colleagues, ensuring that all disclaimers and necessary information are included.
  • Assist with showroom upkeep, especially before and after key project meetings or sit tests
  • Participate in team meetings and provide input on process improvements.

Work Environment:

  • Fast-paced and collaborative team environment.
  • Occasional off-site coordination may be required (deliveries, site measures, etc.).
  • Office and shop floor interaction as needed.

You possess:

  • Proven experience in project coordination, estimating, or production management.
  • Strong communication skills, both written and verbal.
  • Excellent organizational skills and attention to detail.
  • Experience with QuickBooks or other estimating software.
  • Ability to multitask and manage time effectively.
  • Knowledge of procurement processes and inventory management.
  • Understanding of design, production, and quality control processes in a manufacturing or custom furniture environment.

Pay: $52,000.00-$75,000.00 per year
