Responsibilities:

OVERVIEW OF ROLE

MiP is seeking a highly organised and professional individual to join the Events Team as an Events Assistant. This supporting role will primarily focus on assisting in all logistical elements in the run-up to a conference as well as on-site support to ensure the smooth running of the event. The role holder will play a crucial role in the events team, working closely with the Head of Events, Event Managers as well as other teams at MiP, such as design and web.

KEY TASKS AND RESPONSIBILITIES

  • Professional and timely delivery of MiP’s calendar of events from conception to completion, assisting the Event Managers.
  • Research of conference venues in the UK and Europe, experiential ideas & suppliers, merchandise ideas & suppliers, research of social activities abroad.
  • Contacting venues and suppliers for availability and costs.
  • Support with data management.
  • Co-ordinating small print collateral requirements with the internal teams.
  • Support the events team with proofing event websites, emails and web apps (no coding knowledge required).
  • Support with putting together event schedules.
  • Support with liaising with external venues on all logistical elements required for the event, such as choosing food & beverage, making sure the venue knows the agenda, room set-ups etc.
  • Support with booking hotels and transfer for external speakers where required.
  • Onsite support at events – set-up, registration, delegate management on the day of the event, venue liaison etc.
  • Support with any potential virtual events incl. organising technical rehearsals and creating a brief for digital collateral such as lower thirds, holding slides, etc.
  • This role may require overnight stays as well as travelling, although most of our conferences take place in London.
  • This role occasionally requires working in the evening.
