Description:

POSITION DESCRIPTION

Pay Grade: Coordinator 3
This position coordinates events and meetings, and provides administrative support for a primary campus as assigned by the Senior Director of Staff Professional Development and Event Management. This position will also assist with events for all College campuses as needed.

KNOWLEDGE, SKILLS & ABILITIES:

Intermediate skills with MS Office products
Ability to exhibit strong interpersonal skills and work well with others
Ability to maintain records accurately and be able to meet deadlines consistently
Demonstrates strong organizational skills
Ability to stand and walk for extended periods of time plus bend and lift during the course of an 8 hour work day
Ability to travel among all Wake Tech campuses and centers in Wake County
Ability to perform normal duties with minimal supervision
Excellent written and verbal communication skills
Exceptional customer relations skills

REQUIREMENTS:

High School Diploma or equivalent
One year experience in hospitality, catering or event planning
One year administrative experience working in a professional office setting
Must have reliable transportation and a clean driving record
Must be willing and able to work 40 hours as assigned during operating hours of Monday-Friday, 8am to 9pm, and Saturday 8am to 5pm
Ability to lift and carry up to 25 pounds and push and pull up to 50 pounds

  • Assists in the coordination of events and meetings for the assigned campus under the supervision of the Senior Director of Staff Professional Development and Event Management
  • Provides support in planning needs for events by hosting, booking caterers, submitting and completing work orders, making room reservations, creating and revising plans and layouts, communicating with Wake Tech Police Department, ITS, Media Productions, and Communications and housekeeping as necessary, posting information and signage, etc.
  • Communicates with internal and external clients, the general public, contractors, vendors, supervisors, peers, subordinates, providing accurate and appropriate information in writing, verbally or in person, respectively
  • Maintains a campus event calendar and communicates monthly schedules to appropriate departments
  • Adheres to event specific budgets, restrictions and invoice/receipt processing as outlined in the purchasing policies and guideline

Maintains a safe and organized environment for event participants
Resolves conflicts with schedules, equipment, space, supplies and furnishings
Assists the Senior Director of Staff Professional Development and Event Management with coordinating and promoting campus initiatives as needed
Assists with the coordination and collaboration of marketing and promoting campus specific venue sales and community engagement.
Maintains general event records, reports and documentation as required
Provides administrative support to Campus Administrators as needed
