Description:

The Calgary TELUS Convention Centre is looking to hire the position of Event Manager. Reporting to the Director of Events, this position is integral in organizing, planning, and managing the client experience and ensuring the highest level of guest satisfaction. The Event Manager is the liaison between all stakeholders, clients, staff, CTCC inhouse partners and outside vendors for all facets of the event. Working with clients from initial contact, proposal preparation, contract negotiation, logistical planning, onsite execution, invoicing and postevent followup and evaluation for the client’s return.

JOB-RELATED SKILLS

  • Understanding of the unique requirements for all types of events; ranging from galas, meetings, conventions, tradeshows, etc.
  • High Proficiency in utilizing modern software packages (ex; Microsoft Office Suite, Microsoft Teams, PDF Editors).
  • Strong interpersonal skills with the ability to communicate effectively both verbally and written.
  • Strong client service orientation with strong attention to accuracy, detail, quality, and delivering a bestinclass experience.
  • Excellent time management and organization skills in a fastpaced environment, handling multiple projects concurrently and meeting all deadlines with the ability to handle stress effectively.
  • Excellent teamwork and relationshipbuilding skills with the ability to develop and cultivate a positive, cooperative, and adaptable approach with clients, partners, and internal stakeholders.

EDUCATION

  • Preferably a postsecondary education in a related field.
  • Event designation is an asset such as Certified Meeting Professional (CMP) or Certified Special Events Professional (CSEP).

EXPERIENCE AND REQUIREMENTS

  • 5+ years of direct experience dealing with the management of events and clients.
  • Experience with all facets of event production, such as meeting or event project planning, risk management, show flow, event budgets, logistics of loadin/out, food and beverage, décor, show services and audiovisual logistics. Experience with floor plan software – ex. Vectorworks.
  • Current knowledge of design trends, entertainment, production, vendor products, and new industry technologies, such as virtual events.
  • Experience utilizing customer, facility, or project management and/or CRM software (ex; Ungerboeck/ Momentus software). Working knowledge of facility management software is a strong asset.

Responsibilities:

  • Consults and connects with existing and prospective clients to rebook events.
  • Conduct and host client site visits as required.
  • Liaise with multidisciplinary departments and partners to ensure the delivery of a successful event.
  • Generates and processes the necessary documentation (i.e. letters, proposals, contracts, utility requirements, deposits, and applicable building and city codes/regulations and standards).
  • Maintain complete knowledge of facility policies and procedures and ensure pertinent information is communicated to the client (compliance with fire and building codes, venue regulations, etc.).
  • Creates and ensures floor plans (layouts) for events follow all Calgary Fire Department regulations.
  • Responsible for coordinating departmental work orders and banquet event orders and function schedules.
  • Provide services and event planning consultation for clients, including guidance on the best use of the facility and its services.
  • Accurately calculates charges for room rental, food and beverage, equipment, and additional services. Ensure the deposit schedule is received according to the contract agreement and final event billings are correct and as per the contract agreement. Follow up post event with clients for overdue payments.
  • Conducts and analyzes postevent feedback from clients for future reference and improvements.
  • Maintains a professional image and builds a positive and effective rapport with clients and prospective clients.
  • Ensure and maintain the confidentiality of all sensitive communication and materials.
  • Participate in operational meetings and other internal meetings as required.
  • Participate/attend applicable local industry events.
  • Perform other duties as assigned.
  • Flexibility to work outside regular business hours (early mornings, evenings, nights, and weekends) if/when required.
